Quarterly Wage - Maintain Data

Use the OH Quarterly Wage page to view, add, edit, and delete employee quarterly wage records for Ohio state reporting. This page displays all extracted employee wage data. It allows users to review and modify individual records before generating the final quarterly wage report submission to the Ohio Department of Job and Family Services (ODJFS).

If errors are encountered during the Load data process, you can correct the source data on the Employee Information form of the OH Quarterly Wage page. After corrections, you must purge and reload the data.

PowerSchool recommends that you correct the report’s source data that is retrieved from the Core application.

  1. On the OH Quarterly Wage page, filter records using the filter criteria. To enter filter criteria:

    1. Select an option in the first field.

    2. Select or enter a value.

    3. Select Add if the button is enabled.
      Refer to Search for records for more information.

      • To add a record, select Add Record. Refer to the Field descriptions and enter valid information in the required fields. Select Save, and then Yes.

      • To edit a record, select the ellipsis in the Actions column and then select Edit. Update the information and select Save.

      • To delete a record, select the ellipsis in the Actions column, select Delete, and then select Yes.

The following table describes the fields on the Quarterly Wage Employee Information tab on the Employee Information form of the OH Quarterly Wage page.

Field

Description

Load logic - Data source and Valid values

Report Year

The reporting year.

This field is view-only and cannot be updated after saving the record.


Populated during the data load process.

The field value is retrieved from the Report Year field on the OH Quarterly Wage - Load page.

Report Quarter

The reporting quarter.

This field is view-only and cannot be updated after saving the record.

Valid values:

  • 1

  • 2

  • 3

  • 4

Populated during the data load process.

The field value is retrieved from the Report Quarter field on the OH Quarterly Wage - Load page.

Employee Number

The employee’s identification (ID) number.

Select the Lookup icon to search for and select an employee number.

This field is view-only and cannot be updated after saving the record.


Populated during the data load process.

The field value is retrieved from the Employee Number field on the Employee Information page.

Social Security

The employee's Social Security number. 

This field is view-only.

Populated during the data load process.

The field value is retrieved from the Social Security field on the Employee Information page.

Last Name

The employee's last name.

This field is view-only.

Populated during the data load process.

The field value is retrieved from the Last Name field on the Employee Information page.

First Name

The employee’s first name.

This field is view-only.

Populated during the data load process.

The field value is retrieved from the First Name field on the Employee Information page.

Middle Initial

The employee's middle initial.

This field is view-only.

Populated during the data load process.

The field value is retrieved from the Middle Name field on the Employee Information page. The system extracts only the first character to create the middle initial.

SOC Code

The Standard Occupational Classification (SOC) code that identifies the employee's occupation.


Populated during the data load process.

The field value is retrieved from the SOC Code field on the Defined Page 32001 - State Required II page.

Owner/Officer

Indicates whether the employee is an owner or officer.


Valid values:

  • 0 - Employee

  • 1 - Owner/Officer

Populated during the data load process.

The field value is retrieved from the Owner/Officer field on the Defined Page 32001 - State Required II page.

Quarterly Wage Data tab

The following table describes the fields on the Quarterly Wage Data tab on the Employee Information form of the OH Quarterly Wage page.

Field

Description

Load logic - Data source and Valid values

Gross Wages

The total gross wages paid to the employee during the reporting quarter.


Calculated during the data load process.

The calculated value represents the total gross wages paid to the employee during the reporting quarter. The system retrieves check amounts from check history records for the quarter date range, then subtracts any voided check amounts to determine the net gross wages.

UI Wages

The wages subject to unemployment insurance for the quarter.


Calculated during the data load process.

The calculated value represents the unemployment insurance wages for the quarter. The system sets this field value to the calculated Gross Wages value.

UI Excess Wages

The wages that exceed the UI taxable wage base for the quarter.


Calculated during the data load process.

The calculated value represents wages that exceed the State UI Taxable Wage Base. The system calculates this as: Year To Date Wages minus the State UI Taxable Wage Base value on the OH Quarterly Wage - Setup page. If the result is negative, the value is set to zero.

The final Excess Wages equals UI Wages minus Taxable UI Wages.

Weeks Paid Total

The number of weeks the employee was paid during the reporting quarter.


Populated during the data load process.

The field value is retrieved from the Weeks Paid Tot field on the Payroll Information - State Required page. If the value exceeds 14 weeks, it is capped at 14. If the field is empty, the value defaults to 0.

Worksite Code

The work location code assigned by the state for the employee.


Populated during the data load process.

The field value is retrieved from the Worksite Code field on the Payroll Information - State Required page. If the field is empty or contains fewer than 3 characters, the system uses the Unit/Location Code value from the OH Quarterly Wage - Setup page instead.

Taxable UI Wages

The portion of wages subject to UI tax after applying the taxable wage base limit.


Calculated during the data load process.

The calculated value represents the portion of UI Wages subject to unemployment tax. The system calculates this as: UI Wages minus UI Excess Wages. If the employee's year-to-date wages have not exceeded the taxable wage base, the Taxable UI Wages equals UI Wages.

Year To Date Wages

The cumulative wages paid to the employee from the beginning of the calendar year through the end of the reporting quarter.


Calculated during the data load process.

The calculated value represents the cumulative wages paid to the employee from the beginning of the calendar year through the end of the reporting quarter. The system retrieves this from check history records for the calendar year, or from the payroll year-to-date earnings field if mid-year go-live applies.

Month 1

Indicates whether the employee was employed during the pay period that includes the 12th day of the first month of the quarter.


Calculated during the data load process.

The calculated value represents whether the employee was employed during the first month of the quarter. The system checks if the employee has any check history records in the Pay Run(s) For 1st Month on the OH Quarterly Wage - Load page. If records exist, this option is selected.

Month 2

Indicates whether the employee was employed during the pay period that includes the 12th day of the second month of the quarter.


Calculated during the data load process.

The calculated value represents whether the employee was employed during the second month of the quarter. The system checks if the employee has any check history records in the Pay Run(s) For 2nd Month on the OH Quarterly Wage - Load page. If records exist, this option is selected.

Month 3

Indicates whether the employee was employed during the pay period that includes the 12th day of the third month of the quarter.


Calculated during the data load process.

The calculated value represents whether the employee was employed during the third month of the quarter. The system checks if the employee has any check history records in the Pay Run(s) For 3rd Month on the OH Quarterly Wage - Load page. If records exist, this option is selected.

Out-Of-State UI Taxable Wages

The wages earned by the employee in states other than Ohio that are subject to UI tax.


Set to the default value during the data load process. The system automatically sets this field to 0.00.

You can manually update this value after extraction if the employee has out-of-state UI taxable wages to report.

Adjustment Reason

The reason for the wage record submission.


Valid values:

  • 00 - Original filing

  • 01 - Correction to clerical error of gross wages/weeks worked

  • 02 - Social Security Number corrected

  • 03 - Employee name corrected

  • 04 - Add Employee to original return

  • 05 - Out-of-state employee

  • 06 - Employee did not work in Ohio

  • 07 - Excluded-Owner (sole-proprietor, partner/Member)

  • 08 - Excluded-Family Exclusion (sole-proprietor, partner/Member)

  • 09 - Excluded - Non-immigrant Alien visas

Set to the default value during the data load process. The system automatically sets this field to 00 - Original filing.

You can manually change this value to indicate corrections or adjustments to previously filed records.
