Set Up Other Segment Codes (Account Components)

Use the Account Components page to define the valid codes and titles for the remaining segments (Level 1, 3, 4, 5, 6–9) of the Full Account Structure (FAS) in Fund Accounting.

From the Fund Accounting menu, select Reference Tables and then Account List. On the Account List page, select Account Components.

Procedure

  1. In the Search Criteria section of the Account Components page, select 2 - <Level name> in the Level field and select Search.

    • To add a record, select Add new. Refer to the Field descriptions, enter valid information, and select Accept.

    • To edit a record, select the record and select Accept. Update the information and select Accept.

    • To delete, select the record and select Delete. Select Yes.

    • To generate a report, select Print, and then select a Destination:

      • Select File to create the report in .rpt format. The default file name is acct_components.rpt. You can change the default file name.

      • Select Screen to download the report in .pdf format. The default file name is acct_components_<#####>.pdf.

      • Select Excel to download the report in .xlsx format. Select the required Excel Options. The default file name is acct_componentsrpt<####_#####>.xlsx.

        • Select OK.

          • Download the .rpt file from the View Files page.

          • Save the .pdf or .xlsx file.

  2. Repeat this procedure and create the remaining object code records you need.

All segment codes needed to build the key organization values are defined.

Field descriptions

The following table describes the fields on the Account Components page.

The FAS segment this row belongs to (1–9).

Each level corresponds to a budget unit (e.g., 1 = Function, 2 = Object, 3 = Location, 4 = Program, 5 = Project).

This field is view-only and cannot be updated after saving the record.

Valid values:

  • 1 - <Level name>

  • 3 - <Level name>

  • 4 - <Level name>

  • 5 - <Level name>

  • 6 - <Level name>

  • 7 - <Level name>

  • 8 - <Level name>

  • 9 - <Level name>

The labels for each level are retrieved from the Account Level section on the Fund Accounting Profile - Translation page.

Code

The value for that segment.

Only codes defined here can be used when building the key organization on the Organization Chart page.

Use a consistent length and leading zeros.

This field is view-only and cannot be updated after saving the record.

Example values:

  • Level 1 (Function): e.g., 1000, 2000

  • Level 3 (Location): e.g., 000, 001

  • Level 4 (Program): e.g., 000, 100

  • Level 5 (Project): e.g., grant or project codes.

  • Levels 6–9: Define these levels only if you use them.

Title

The description for the code.

This value is displayed in lookups and reports to help users identify the segment value.

Example values:

  • Level 1 (Function): e.g., INSTRUCTION, SUPPORT SERVICES

  • Level 3 (Location): e.g., DISTRICT WIDE, BUILDING A

  • Level 4 (Program): e.g., NONE, TITLE I

  • Level 5 (Project): e.g., grant or project titles.

  • Levels 6–9: Define these level titles only if you use them.
