Contributions and Earnings Report

The default file name for the Contributions and Earnings report is NY ERS_Contributions_Wages_<monthyear>.txt.

The file format is pipe-delimited.

The Contributions and Earnings report contains the following records:

Payroll End Date

The date of the last day of the period being reported (the last day of the month).

This specifies the month for which the days and contributions reported in this transaction are applicable.

A reporting file can contain transactions with multiple payroll end dates.

Number of Pay Cycles in Period

1

The number of payroll cycles covered based on the Pay Frequency on the Job Data tab of the Employee Information form of the NY ERS Retirement Report - Job & Demographic Data page.

For example, an employee paid weekly might have received up to four or five payments in a reported month.

Valid values:

  • If the Pay Frequency is W – Weekly, this field value is 4 or 5

  • If the Pay Frequency is B – Bi-Weekly, this field value is 2 or 3

  • If the Pay Frequency is S – Semi-Monthly, this field value is 2

  • If the Pay Frequency is M – Monthly, this field value is 1

Reported Days

3.2

The number of days worked in the period covered by the report.

The valid value is a maximum of three numbers followed by a decimal, if required, and rounded to two decimal places. The number of days worked to be reported should be calculated as the total number of hours worked during the reporting period, divided by the standard workday hours, rounded to two decimal places.

If this is an Adjustment transaction, you can adjust days positively or negatively.

This field value may be 0 or null if there are no days associated with the corresponding earnings. For example, for a lump sum payment, a grievance, or an arbitration award.

Reported Pre-Tax Contributions

16.2

The pre-tax contributions deducted from the employee.

You cannot adjust contributions once they have been reported.

A maximum of sixteen numbers followed by a decimal, if required, and two decimal places.

This field value may be 0 or null if there are no contributions associated with the corresponding earnings.
