Teacher Service Records (TEA) - Create File

Use the TX Teacher Service Records (TEA) - Reports page to generate printed or exported reports of teacher service history data for submission to the Texas Education Agency (TEA) and internal district use.

  1. On the TX Teacher Service Records (TEA) page, select Reports.

  2. Refer to the Field descriptions and enter or select the required criteria in the Report Type and Report Criteria sections.

  3. Select Accept and enter or select the required criteria in the Selection Criteria section.

  4. Select Accept.

  5. In the Print dialog, select a Destination:

    • Select File to create the report in .rpt format. You can change the default file name.

    • Select Screen to download the report in .pdf format.

    • Select Excel to download the report in .xls format. Select the required Excel Options.

      • Select OK.

        • Download the .rpt file from the View Files page.

        • Save the .pdf or .xlsx file.
          For more information about the Print option, refer to Print Reports.

  6. Navigate to the folder containing the report file.

  7. Inspect the file. Refer to Maintain data and update it if necessary.

  8. Repeat these steps until all the required data is included.

The default file names are:

  • Teacher Service Record:

    • PDF: servhist_<#####>.pdf

    • RPT: servhist.rpt

  • Teacher Service History:

    • Excel: historyrpt<####_#####>.xlsx

    • PDF: history_<#####>.pdf

    • RPT: history.rpt

  • Line Up Labels Report:

    • PDF: labellu_<#####>.pdf

    • RPT: labellu.rpt

  • Service Record Labels:

    • PDF: labels_<####>.pdf

    • RPT: labels.rpt

Field descriptions

Report Type

The following table describes the fields in the Report Type section of the TX Teacher Service Records (TEA) - Reports page.

Field

Description

Teacher Service Record

This option generates a detailed report of teacher service records based on your selection criteria. This is the primary report that shows complete service information, including:

  • Employee demographics

  • Service period details (year, dates, FTE, days worked)

  • Position and grade information

  • Leave balances (personal and sick)

  • Years of experience

Use this option for TEA reporting, audits, and verification of annual service records.

Teacher Service History

This option generates a multi-year historical report showing an employee's complete service record across multiple years. This report:

  • Displays service records spanning several years for selected employees.

  • Shows employment progression and career history.

  • Is useful for reviewing long-term service patterns.

  • Typically includes year-by-year comparison of positions, leave balances, and experience.

Use this option for historical analysis, retirement calculations, and longitudinal service verification.

Service Record Labels

This option generates printed labels for physical filing or mailing purposes. These labels:

  • Contain key identifying information from the service records.

  • Are formatted for standard label sheets.

  • Are used for organizing paper files, folders, or envelopes.

  • Typically include employee name, number, and year.

Use this option for physical record management and filing systems.

Report Criteria

The following table describes the fields in the Report Criteria section of the TX Teacher Service Records (TEA) - Reports page.

Field

Description

Include Terminated Employees

Indicates whether to include terminated employees in the report.

If selected, the report will be sorted by Location and Name, and the following fields are hidden:

  • Sort Field

  • Location

  • Status

State

The two-character state code.

The valid value is TX.

This field is view-only.

Print Lineup

Use this option to test and align your label printer before printing actual service record labels.

When printing physical service record labels, they must be precisely aligned on the label sheet. The Print Line Up button:

  1. Prints 4 test labels filled with dummy data (X's and 9's).

  2. Shows label positioning so you can verify alignment.

  3. Allows adjustments to the printer or label sheets before printing real data.

The Print Lineup button is displayed when Service Record Labels is selected.

County

A filter to limit the report to service records for a specific county within Texas.

District

A filter to limit the report to service records for a specific school district.

Private School

Indicates whether to filter records by public vs. private school employment.

Sort Field

Determines the order in which service records appear on the report.

Valid values:

  • L - Location and Name

  • N - Name

This field is hidden when Include Terminated Employees is selected.

Selection Criteria

The following table describes the fields in the Selection Criteria section of the TX Teacher Service Records (TEA) - Reports page.

Field

Description

Employee Number

A filter to specify which employee identification (ID) numbers to include in the report.

Select the Lookup icon to search for and select an employee number.

You can:

  • Enter a specific employee number (e.g., 12345).

  • Use wildcards to select a range (e.g., 1* for all employee numbers starting with 1).

  • Use comparison operators (e.g., >= 10000).

  • Leave this field blank to include all employees.

Year

A filter to limit the report to service records for a specific school year.

Leave this field blank to include all years.

Location

A filter to limit the report to employees assigned to a specific school or location.

This field is hidden when Include Terminated Employees is selected.

Status

A filter to limit the employees to include based on their current personnel status.

The values in the drop-down list are retrieved from the Status Code Table page.
