Ed-Fi Batch Staff Extensions - Load Data

Use the TX Ed-Fi Batch Staff Extensions - Load page to load Texas Ed-Fi staff demographic, employment, and payroll data from the system into the Ed-Fi reporting tables, including automatic population of staff extension records.

On the Defined Page 32002 - State Required III page:

  • If the Included Sub field value is Y, the employee is included in the Ed-Fi Batch Staff Extensions Load.

  • If the TSDS Excluded field value is Y, the employee is excluded from the Ed-Fi Batch Staff Extension Load.

  1. On the TX Ed-Fi Batch Staff Extensions page, select Load.

  2. Refer to the Field descriptions and enter or select the required load criteria.

  3. Select Accept.

  4. If data for the selected criteria is loaded, select Yes to delete and reload the data.

  5. In the Print dialog, select the Destination for the Ed-Fi Batch Load error log.

    • Select File to create the log in .rpt format. The default file name is edfi_batch_load.log. You can change the default file name.

    • Select Screen to download the log in .pdf format. The default file name is edfi_batch_load.pdf.

  6. If errors are encountered, save the Load error log and select OK.

  7. Navigate to the file location.

  8. Inspect the error. Refer to Maintain data and update it as necessary.

  9. Repeat these steps until no errors are encountered and all required data is loaded.

Field descriptions

The following table describes the fields on the TX Ed-Fi Batch Staff Extensions - Load page.

Field

Description

Entity Name

The Ed-Fi entity data to include.

Valid values:

  • DaysEmployedSet

  • ParaProfessionalCertificationSet

  • AuxiliaryRoleIDSet

Control Number

The unique identifier or reference number for the record batch to include.

Effective Date

The effective date of the extension attributes to include.

Load Terminated Pay Rates

Indicates whether to include pay rates that have been marked as terminated.

This option is displayed when DaysEmployedSet or AuxiliaryRoleIDSet is selected.

Load Inactive Pay Rates

Indicates whether to include pay rates that are marked as inactive.

This option is displayed when DaysEmployedSet or AuxiliaryRoleIDSet is selected.

Employee Number

The employee identification (ID) numbers to include.

Select the Lookup icon to search for and select employee numbers.

Multiple employee numbers must be separated by the pipe (|) symbol.

Begin Date

The beginning date of the Ed-Fi staff extension records to include.

End Date

The ending date of the Ed-Fi staff extension records to include.

Employee Types

The employee types to include.

Select the Employee Types button to search for and select employee types.

Employee Statuses

The employee statuses to include.

Select the Employee Statuses button to search for and select employee statuses.

Load data process

During the data load:

  • The AuxiliaryRoleIDSet values are retrieved from the Aux Role-ID field on the Defined Page 32001 - State Required II page in combination with the dates on the employee’s Primary Pay Rate.

  • The DaysEmployedSet values are retrieved from the employee’s Pay Rate information or the override fields on the Defined Page 32001 - State Required II page. The FTE for all included pay rates is summed, while the maximum Days Worked value is used.

  • The ParaProfessionalCertificationSet values are retrieved from the employee certifications associated with a paraprofessional type. The dates for these records are retrieved from the Issued and Expiration fields on the Certifications/Licenses page.
