Staff Summer Separation

Use the Staff Summer Separation page to manage and report CL (Summer Separation) records for Ohio EMIS (Education Management Information System) reporting. It tracks staff members who have separated from employment during the summer period, which is a specific Ohio state reporting requirement.

If errors are encountered during the Load data process, you can correct the source data on the Staff Summer Employment Separation Information (CL) form of the Staff Summer Separation page. After corrections, you must reload the data.

PowerSchool recommends that you correct the report’s source data that is retrieved from the Core application.

  1. On the Staff Summer Separation page, filter records using the filter criteria. To enter filter criteria:

    1. Select an option in the first field.

    2. Select or enter a value.

    3. Select Add if the button is enabled.
      Refer to Search for records for more information.

      • To add a record, select Add Record. Refer to the Field descriptions and enter valid information in the required fields. Select Save, and then Yes.

      • To edit a record, select the ellipsis in the Actions column and then select Edit. Update the information and select Save.

      • To delete a record, select the ellipsis in the Actions column, select Delete, and then select Yes.

The following table describes the fields on the Staff Summer Employment Separation Information (CL) form of the Staff Summer Separation page.

Description

Load logic - Data source and Valid values

Sort Type

The record type identifier for EMIS reporting.

The valid value is CL.

Calculated during the data load process.

The calculated value corresponds to the fixed record type identifier CL, indicating this is a Staff Summer Employment Separation record. This value is hard-coded for all summer separation records.

Fiscal Year

The Ohio fiscal year for which the summer separation record applies. Used to associate the record with the appropriate EMIS reporting year.

Populated during the data load process.

The field value is retrieved from the Staff Fiscal Year field on the EMIS Profile page.

Reporting Period

The EMIS reporting period for the summer separation record.

Valid values:

  • L = End of Year/Final

  • S = Summer

Populated during the data load process.

The field value is retrieved from the Staff Reporting Period field on the EMIS Profile page.

District IRN

The six-digit Information Retrieval Number (IRN) assigned by the Ohio Department of Education to identify the reporting district where the employee was employed before separation.

Populated during the data load process.

The field value is retrieved from the District IRN field on the EMIS Profile page.

Employee Number

The employee’s identification (ID) number.

Populated during the data load process.

The field value is retrieved from the Employee Number field on the Employee Information page.

Last Name

The employee's last name.

Populated during the data load process.

The field value is retrieved from the Last Name field on the Employee Information page.

First Name

The employee’s first name.

Populated during the data load process.

The field value is retrieved from the First Name field on the Employee Information page.

Social Security

The employee's Social Security number. 

Populated during the data load process.

The field value is retrieved from the Social Security field on the Employee Information page.

OH State Staff ID

The Ohio EMIS-assigned unique identifier for the staff member (also known as Credential ID or State Staff ID). This is the state-issued identifier used to track the individual across districts and reporting periods.

Populated during the data load process.

The field value is retrieved from the EMIS Employee ID field on the EMIS Position Information page for the employee's primary EMIS position.

Position Code

The three-character EMIS Position Assignment Code identifying the type of work or role the employee held at the time of separation.

Populated during the data load process.

The field value is retrieved from the EMIS Position field on the EMIS Position Information page for the employee's primary EMIS position.

Position code description

The text description associated with the Position Code.

Dynamically retrieved from the Description field on the EMIS Assignment Codes page when the record is displayed on this page.

Local Contract Code

A district-defined code used to identify the contract or employment agreement under which the separated employee was working. Helps link the separation record to the employee's specific position assignment.

Populated during the data load process.

The field value is retrieved from the Contract Code field on the EMIS Position Information page for the employee's primary EMIS position.

Separation Code

The EMIS-defined code indicating the reason for the employee's separation from employment.

Calculated during the data load process.

The calculated value represents the EMIS separation reason code determined through a cascading lookup:

  1. The system checks the EMIS Term Code field on the Payroll Information - State Required page and translates it to a state termination code via the State Termination Code field on the Termination Code Table page.

  2. If the EMIS Term Code on the Payroll Information - State Required page is missing, the Separation Reason field value from the primary EMIS position on the EMIS Position Information page is used.

  3. If the Separation Reason from the primary EMIS position on the EMIS Position Information page is missing, the Termination Code field value on the Terminate Employee page is used and translated using the Termination Code Table page.

Separation Date

The actual date on which the employee's employment with the district ended. This date must fall within the defined summer date range to qualify as a summer separation.

Calculated during the data load process.

The calculated value represents the employee's separation date determined through a cascading lookup:

  1. The system checks the EMIS Term Date field on the Payroll Information - State Required page.

  2. If the EMIS Term Date on the Payroll Information - State Required page is missing, the Separation Date field value from the primary EMIS position on the EMIS Position Information page is used.

  3. If the Separation Date from the primary EMIS position on the EMIS Position Information page is missing, the Termination Date field value on the Terminate Employee page is used.
