Load Summer Separation Data

Use the Staff Summer Employment Separation - Load page to automatically extract and load CL (Summer Separation) records for Ohio EMIS reporting. It identifies employees who separated from employment during the summer months and creates records for state reporting purposes.

The load process uses the Summer Start Date and Summer End Date to identify employees who separated during the summer months. It evaluates each employee's separation date from multiple sources (State Required page, primary EMIS Position, or Employee Information page) and loads only records for employees whose separation date falls within the specified summer date range.

  1. On the Staff Summer Separation page, select Load.

  2. Refer to the Field descriptions and enter or select the required load criteria.

  3. Select Load, and then Yes.

  4. If data for the selected criteria is loaded, select Yes to delete and reload the data.

  5. Save the Load Summary report file and select OK.

  6. If errors are encountered, save the Load Error log and select OK.

  7. Navigate to the file location.

  8. Inspect the files. Update data if necessary.

  9. Repeat these steps until no errors are encountered and all required data is loaded.

Field descriptions

The following table describes the fields on the Staff Summer Employment Separation - Load page.

Field

Description

Fiscal Year

The current EMIS Staff reporting fiscal year. This determines which fiscal year the loaded summer separation records will be associated with.

The field value is retrieved from the Staff Fiscal Year field on the EMIS Profile page.

This field is view-only.

Reporting Period

The current EMIS Staff reporting period. The loaded summer separation records will be created for this reporting period.

The field value is retrieved from the Staff Reporting Period field on the EMIS Profile page.

This field is view-only.

District IRN

The district's six-digit Information Retrieval Number (IRN). All loaded summer separation records will be associated with this district.

The field value is retrieved from the District IRN field on the EMIS Profile page.

This field is view-only.

Summer Start Date

The beginning date of the summer separation period. Employees with termination dates on or after this date (and on or before the end date) will be evaluated for inclusion in the summer separation load.

Summer End Date

The ending date of the summer separation period. Employees with termination dates on or before this date (and on or after the start date) will be evaluated for inclusion in the summer separation load. This date must be equal to or later than the Summer Start Date.

Separation Date Preference

Determines which personnel date the system uses as the fallback Separation Date when the EMIS Term Date field on the Payroll Information - State Required page is not populated.
