New Hire Report - Setup

Set up the following before creating the New Hire report.

Employer

Use the OH New Hire Report - Setup - Employer page to configure and maintain the employer information that will be included in the Ohio New Hire Report. This page allows users to enter and update employer identification numbers, contact information, and address details required for the electronic file submitted to the Ohio Department of Job and Family Services (ODJFS).

When setting up an employer record for the first time, the default data for the current tax year is retrieved from the W2 employer data. If the W2 employer data needs updating, you can update it as needed. This data is not synchronized with the W2 employer data. You should update the source W2 employer data before performing this procedure.

  1. On the OH New Hire Report page, select Setup, then Employer.

  2. Refer to the Field descriptions and enter valid information.

  3. Select Save, then Yes.

Before saving, you can use the Reset button to discard any unsaved changes and restore the fields to their last saved values. 

Field descriptions

The following table describes the fields on the OH New Hire Report - Setup - Employer page.

Field

Description

Data Source

Name

The official legal name of the employer or organization.

The limit is 30 characters.

The field value is retrieved from the Employer Name field on the W2 Wizard: W2 Parameters page.

Street Address 1

The primary street address of the employer's location.

This is the main address line used for employer identification in the New Hire electronic file.

The limit is 30 characters.

The field value is retrieved from the Address field (first line) on the W2 Wizard: W2 Parameters page.

Street Address 2

Additional address information, such as suite number, building name, or floor.

This field is optional and provides supplementary address details.

The limit is 30 characters.

The field value is retrieved from the Address field (second line) on the W2 Wizard: W2 Parameters page.

City

The city where the employer is located.

The limit is 15 characters.

The field value is retrieved from the City field on the W2 Wizard: W2 Parameters page.

State

The two-character state code for the employer's address.

The field value is retrieved from the State field on the W2 Wizard: W2 Parameters page.

Zip

The five-digit postal zip code for the employer's address.

The field value is retrieved from the Zip Code field on the W2 Wizard: W2 Parameters page.

Zip Ext

The four-digit zip code extension (ZIP+4).

The field value is retrieved from the Zip Extension field on the W2 Wizard: W2 Parameters page.

Employer Contact Number

The employer's primary telephone number.

This is the phone number where the employer can be contacted regarding New Hire reporting matters.

The field value is retrieved from the Phone field on the W2 Wizard: W2 Parameters page.

Employer Phone Ext

The telephone extension number, if applicable.

Use this field if the employer's phone system requires an extension to reach the appropriate contact.

The field value is stored in the database after being entered on this page. It is not retrieved from another field.

Employer Contact

The name of the person responsible for New Hire reporting at the organization.

This is the primary point of contact for any questions or issues related to the New Hire submission.

The limit is 20 characters.

The field value is retrieved from the Contact Name field on the W2 Wizard: W2 Parameters page.

Federal Identification Number (EIN)

The nine-digit Federal Employer Identification Number assigned by the Internal Revenue Service (IRS).

The field value is retrieved from the Federal ID Number field on the W2 Wizard: W2 Parameters page.
