EMIS Staff Vacancy Report - Maintain Data

Use the EMIS Staff Vacancy Report page to add, update, and delete Ohio EMIS Staff Vacancy data for your district.

You can correct the imported data on the Staff Vacancy Information form of the EMIS Staff Vacancy Report page.

  1. On the EMIS Staff Vacancy Report page, filter records using the filter criteria. To enter filter criteria:

    1. Select an option in the first field.

    2. Select or enter a value.

    3. Select Add if the button is enabled.
      Refer to Search for records for more information.

      • To add a record, select Add Record. Refer to the Field descriptions and enter valid information in the required fields. Select Save, and then Yes.

      • To edit a record, select the ellipsis in the Actions column and then select Edit. Update the information and select Save.

      • To delete a record, select the ellipsis in the Actions column, select Delete, and then select Yes.

      • To download the information, select Download, then select Download PDF or Download as an Excel Document. The default file names are:

        • Excel: OH EMIS Staff Vacancy Maint Report_<MMDDYYYY_hhmmss>.xlsx

        • PDF: OH EMIS Staff Vacancy Maint Report_<MMDDYYYY_hhmmss>.pdf

The following table describes the fields on the Staff Vacancy Information form of the EMIS Staff Vacancy Report page.

Fiscal Year

The fiscal year for which the vacancy record is being reported.

This field is view-only and cannot be updated after saving the record.

Populated during the import process.

The field value is retrieved from the Fiscal Year field on the EMIS Staff Vacancy Report - Import page.

Building IRN

The six-digit ODE Institutional Revenue Number (IRN) identifying the building where the vacancy exists.

This field is view-only and cannot be updated after saving the record.

Populated during the import process.

The field value is retrieved from the *CR050 Building IRN column of the Excel import file.

The values in the drop-down list are retrieved from the EMIS Building IRN Codes page.

Position Code

The EMIS-defined code for the type of position that became vacant.

This field is view-only and cannot be updated after saving the record.

Populated during the import process.

The field value is retrieved from the *CR070 Position Code column of the Excel import file.

The values in the drop-down list are retrieved from the EMIS Class Codes page.

Subject Area

The EMIS subject area code associated with the vacant position.

Required for instructional positions.

This field is view-only and cannot be updated after saving the record.

Populated during the import process.

The field value is retrieved from the CR080 Subject Area column of the Excel import file.

Vacancy Reason

The EMIS-defined code indicating the reason the position became vacant (e.g., retirement or resignation).

Populated during the import process.

The field value is retrieved from the *CR130 Vacancy Reason column of the Excel import file.

Vacancy Fill Method

The EMIS-defined code indicating how the vacancy was filled (for example, new hire or transfer).

Populated during the import process.

The field value is retrieved from the *CR150 Vacancy Filled Method column of the Excel import file.

Former Staff ID

The ODE-assigned EMIS staff ID of the employee who previously held the position.

This field is view-only and cannot be updated after saving the record.

Populated during the import process.

The field value is retrieved from the CR060 Former Staff ID column of the Excel import file.

Former Employee Number

The employee number for the former staff member.

This field is view-only and cannot be updated after saving the record.

Populated during the import process.

The field value is retrieved from the Former Employee Number column of the Excel import file.

Former Employee Last Name

The last name of the former employee.

This field is view-only.

Populated during the import process.

The field value is retrieved from the Last Name field on the Employee Information page of the employee record corresponding to the Former Employee Number column in the Excel import file.

Former Employee First Name

The first name of the former employee.

This field is view-only.

Populated during the import process.

The field value is retrieved from the First Name field on the Employee Information page of the employee record associated with the Former Employee Number column of the Excel import file.

New Staff ID

The ODE-assigned EMIS staff ID of the employee hired to fill the vacancy.

This field is view-only and cannot be updated after saving the record.

Populated during the import process.

The field value is retrieved from the CR090 New Staff ID column of the Excel import file.

New Employee Number

The district's internal employee number for the new staff member.

This field is view-only and cannot be updated after saving the record.

Populated during the import process.

The field value is retrieved from the New Employee Number column of the Excel import file.

New Employee Last Name

The last name of the new employee.

This field is view-only.

Populated during the import process.

The field value is retrieved from the Last Name field on the Employee Information page of the employee record associated with the New Employee Number column of the Excel import file.

New Employee First Name

The first name of the new employee.

This field is view-only.

Populated during the import process.

The field value is retrieved from the First Name field on the Employee Information page of the employee record associated with the New Employee Number column of the Excel import file.

Date Vacancy Filled

The date the position was filled.

Leave blank if the vacancy remains open.

This field is view-only and cannot be updated after saving the record.

Populated during the import process.

The field value is retrieved from the CR100 Date Vacancy Filled column of the Excel import file.

Grade Low

The lowest grade level served by the vacant position, using EMIS-defined grade level codes.

Populated during the import process.

The field value is retrieved from the CR110 Grade Low column of the Excel import file.

Grade High

The highest grade level served by the vacant position.

Must be equal to or greater than Grade Low.

Populated during the import process.

The field value is retrieved from the CR120 Grade High column of the Excel import file.

Unfilled FTE

The portion of the position's authorized full-time equivalent (FTE) that remains unfilled.

Populated during the import process.

The field value is retrieved from the CR140 Unfilled FTE column of the Excel import file.
