TEXAS - Ed-Fi Staff Responsibilities updated to support SPED Student Age Range and TX Unique Staff ID

The fields SPED Student Age Range and TX Unique Staff ID have been added to the Ed-Fi Staff Responsibilities maintenance pages and included in the Import.

The SPED Student Age Range field also now displays on the Ed-Fi > Staff Information page - Staff Responsibilities tab and the Staff Information - Staff Responsibilities report to Excel.

This is for Versions 22.4 and 23.10 only.

TEXAS - Ed-Fi - Staff Information - Employee Number has been added to the Load

PEIMS > All > Data Exchange (Ed-Fi) Staff Information > Load

The Employee Number field, which initially existed in PEIMS > All > Personnel > Personnel Information > Load, has been implemented in the Ed-Fi Staff Information Load. Districts can be selective about loading data for individual employees not included in the previous load. Multiple employee numbers can be entered and separated by the pipe | symbol.

This field functions the same in the Ed-Fi Staff Information Load as in the PEIMS Personnel Information > Load. Employees entered in this field must fall within the Load Criteria and the Additional Criteria entered on the page.

For versions 22.4 and 23.10, this field is accessed from Staff Information > Load > Run Load. It is not available when defining a schedule.

The following PEIMS reference tables were updated to match the 2024-25 specifications:

  • Activity

  • Population

  • Programs

  • Role ID (TWEDS Staff Classifications)

  • Service ID (TWEDS Course Codes)

TEXAS: Staff Responsibility change when modifying key values

PEIMS > All > Personnel > TEA Staff Responsibilities

An issue occurred when changing the key value of campus or role on a staff responsibilities record where a new assignment record was created and linked to the service record; however, the original assignment record, which was not visible in the UI, remained in the table. When the staff information moved to DEX, both the new and the old assignment records for the employee were included as they both existed in the table. This modification removes the original value from the table when a key value is changed.

EDFI - Total Professional Years/ District Years of Experience/ Prior Professional Year defaults to 0 when the tcode values are left blank on the State Required II page

When the corresponding source data on the State Required II user defined page are left blank for Total Professional Year, District Years of Experience, and Prior Professional Years, the Ed-Fi staff information load will default to 0 instead of 1.

Allow Editing of EDFI Staff Information Records

We have added a new security resource to the DEX package, resource 32002 - MAY UPDATE DEX STAFF INFORMATION. With this resource comes the ability to edit the records in PEIMS > Data Exchange (Ed-Fi) > Staff Information. All changes will be recorded in the audit trail; however, users will view these changes as part of a future release. Enhanced validation for each field PEIMS > Data Exchange (Ed-Fi) > Staff Information will also be part of a future project.
