OASIS Report - Maintain Data - Employee Information

Use the MO OASIS Report page to view, add, update, and maintain retirement information for Missouri OASIS (Online Automated Submission and Information System) reporting. This page allows users to manage employee retirement records, including payroll details, wage information, contributions, and demographic data for submission to Missouri retirement systems (PSRS and PEERS).

If errors are encountered during the Load data process, you can correct the source data on the Employee Information form of the MO OASIS Report page. After corrections, you must purge and reload the data.

PowerSchool recommends that you correct the report’s source data that is retrieved from the Core application.

  1. On the MO OASIS Report page, filter records using the filter criteria. To enter filter criteria:

    1. Select an option in the first field.

    2. Select or enter a value.

    3. Select Add if the button is enabled.
      Refer to Search for records for more information.

      • To add a record, select Add Record. Refer to the Field descriptions and enter valid information in the required fields. Select Save, and then Yes.

      • To edit a record, select the ellipsis in the Actions column and then select Edit. Update the information and select Save.

      • To delete a record, select the ellipsis in the Actions column, select Delete, and then select Yes.

      • To download the information, select Download, then select Download PDF or Download as an Excel Document. The default file names are:

        • Excel: MO OASIS Report_<MMDDYYYY_hhmmss>.xlsx

        • PDF: MO OASIS Report_<MMDDYYYY_hhmmss>.pdf

Field descriptions

The Employee Information form of the MO OASIS Report page consists of the following:

General section

The following table describes the field in the General section on the Employee Information form of the MO OASIS Report page.

Field

Description

Load logic - Data source and Valid values

Employee

The employee’s name.

This field is view-only.

Calculated during the data load process.

The calculated value represents the employee's formatted full name for display purposes. The system constructs the employee name by combining the First Name, Last Name, Middle Name, and Suffix fields from the Employee Information page.

Payroll Detail tab

The following table describes the fields on the Payroll Detail tab on the Employee Information form of the MO OASIS Report page.

Field

Description

Load logic - Data source and Valid values

School Year

The fiscal school year (e.g., 2023-2024) for the OASIS retirement record.


Populated during the data load process.

The field value is retrieved from the School Year field on the MO OASIS Report - Load page.

Report Month

The month within the school year for the retirement record. An extra month (13) option is available for year-end processing.


Populated during the data load process.

The field value is retrieved from the Report Month field on the MO OASIS Report - Load page.

Report Period

The pay period within the selected month for the retirement record.


Populated during the data load process.

The field value is retrieved from the Report Period field on the MO OASIS Report - Load page.

Employee Number

The employee’s identification (ID) number.

Select the Lookup icon to search for and select an employee number.

This field is view-only and cannot be updated after saving the record.

Populated during the data load process.

The field value is retrieved from the Employee Number field on the Employee Information page.

Pay Start Date

The pay period beginning date for the retirement record.


Populated during the data load process.

The field value is retrieved from the Start Date field on the Check History page for each check processed within the specified pay date range.

Pay End Date

The pay period ending date for the retirement record.


Populated during the data load process.

The field value is retrieved from the End Date field on the Check History page for each check processed within the specified pay date range.

Wage Type

The retirement system classification.


Valid values:

  • P - PSRS Regular

  • S - PSRS Social Security

  • C - PSRS Critical Shortage

  • N - PEERS Regular

  • W - PEERS Critical Shortage

  • R - Non-Member Retiree

  • O - Non-Member PSRS as Non-Certificated

  • T - Non-Member Substitute Teaching WAR Waiver

  • X - Non-Member

Calculated during the data load process.

The calculated value corresponds to the retirement wage type based on the deduction codes in the Check History. The system looks up the Retirement System field on the MO Retirement Deductions page for each retirement deduction code. If no retirement deduction is found, the system checks if the employee has a retirement date or an active retirement deduction. Retirees default to R, and non-members default to X.

Gross Salary

The total gross earnings for the pay period.


Calculated during the data load process.

The calculated value represents the sum of pay amounts from the Check History for pay codes (earnings). For members with a retirement salary, the system calculates gross salary as Retirement Salary minus Insurance Amount, plus any extra pay from pay codes exempt from retirement.

FLSA overtime is typically included in gross salary unless the pay code is explicitly excluded using the MO OASIS Report - Excluded Pay Codes page.

Retirement Salary

The salary amount subject to PSRS/PEERS retirement contributions for the pay period.


Calculated during the data load process.

The calculated value represents the sum of the Deduction fields from the Check History for retirement deduction records.

For wage type O (Non-Member PSRS as Non-Certificated), the retirement salary is set to 0.00.

FLSA overtime may be excluded from retirement salary if the pay code is configured as exempt from retirement deductions.

Employer Contribution

The employer's retirement contribution amount for the pay period.


Calculated during the data load process.

The calculated value represents the sum of the Benefit fields from the Check History for retirement deduction records.

Employee Contribution

The employee's retirement contribution amount withheld for the pay period.


Calculated during the data load process.

The calculated value represents the sum of the Amount fields from the Check History for retirement deduction records.

Insurance Amount

The life insurance premium amount for the pay period.


Calculated during the data load process.

The calculated value represents the sum of the Benefit fields from the Check History for deduction codes configured as insurance deductions on the MO Board Paid Deductions page. The system caps the amount at the maximum benefit specified on the MO Board Paid Deductions page.

Annual Base Salary

The employee's total annual base salary for PSRS/PEERS reporting purposes.


Calculated during the data load process.

The calculated value represents the employee's full annual salary. If the Annual Salary field on the Payroll Information - State Required page contains a value, that value is used. Otherwise, the system calculates the annual salary from active pay rates using salary schedule tables, with different calculations based on pay method (Hourly, Daily, Per Check, Range/Step, or Salary). For wage types X (Non-Member) or O (Non-Member PSRS as Non-Certificated), the annual base salary is set to 0.00.

FLSA overtime is typically not included in annual base salary calculations, as annual salary is derived from pay rate records rather than check history.

Hours Worked

The total hours the employee worked during the pay period.

Calculated during the data load process.

The calculated value represents the sum of the Hours fields from the Check History for pay codes (earnings) within the specified pay date range. The system caps hours at 999.99 per payroll detail record.

FLSA overtime hours are included in the total hours worked.

Pay Frequency

The pay frequency that specifies how often the employee is paid.



Valid values:

  • W - Weekly

  • B - Bi-weekly

  • S - Semi-monthly

  • M - Monthly

  • O - Other

Populated during the data load process.

The field value is retrieved from the Pay Frequency field on the Payroll tab of the Employee Information page.

Employment Status

The employee's current employment status for PSRS/PEERS reporting purposes.


Calculated during the data load process.

The calculated value represents the employee's employment status. If the employee has a Last Day Worked date on the Terminate Employee page, the status is set to T (Terminated). If the Empl Status field on the Payroll Information - State Required page contains a value, that value overrides the default.

Status Date

The effective date of the employee's current employment status (e.g., termination date, leave start date).


Calculated during the data load process.

The calculated value represents the employment status date. If the employee has a Last Day Worked date on the Terminate Employee page, that date is used. If the Status Date field on the Payroll Information - State Required page contains a value, that value overrides the default.

Position Code

The employee's job position classification for PSRS/PEERS reporting.


Valid values:

  • 000 - Non-Member

  • 001 - Superintendent/CEO

  • 005 - Asst. Superintendent/P

  • 010 - Principals/Asst. Principal

  • 020 - Office Administration

  • 025 - School/Home Coordinator

  • 030 - Teachers

  • 040 - Instructional Aides/Paraprofessionals

  • 045 - Coach

  • 050 - Nurses/Health Services

  • 055 - Speech/Language Pathologist

  • 060 - Transportation

  • 070 - Food Services

  • 080 - Maintenance

  • 090 - Other

  • 095 - Qualified Public Safety Personnel

  • 100 - Secondary Position

Populated during the data load process.

The field value is retrieved from the O Wage Pos Cd field on the Payroll Information - State Required page. The source field varies by wage type:

Term of Position

The number of months in the employee's work year.


Valid values:

  • blank

  • 09

  • 10

  • 11

  • 12

Populated during the data load process.

Part Time

Indicates whether the employee is a part-time employee for PSRS/PEERS reporting purposes.


Calculated during the data load process.

The calculated value represents the employee's part-time status. If the Part Time field on the Payroll Information - State Required page contains a value, that value is used. Otherwise, the system checks the Part Time Status field on the Personnel tab of the Employee Information page. If set to P, this option is selected. Otherwise, it is cleared.

For wage types X, O, R, T, C, N, or W, this option is cleared.

Career Ladder

Indicates whether the employee's earnings include career ladder compensation for teachers participating in Missouri's career ladder program.


Populated during the data load process.

This option is cleared during the data load process. You must manually update this field if the employee participates in a career ladder program.

Final Pay Employee

Indicates whether this is the employee's final paycheck, triggering final pay processing for PSRS/PEERS.


Calculated during the data load process.

The calculated value represents whether this is the employee's final pay. If the employee's Last Day Worked date on the Terminate Employee page falls within the pay start and pay end date range, this option is selected. Otherwise, it is cleared.

District Final Pay

Indicates whether this record is part of the district's final payroll for the school year.


Populated during the data load process.

The field value is retrieved from the District Final Pay option on the MO OASIS Report - Load page. This value applies to all employees processed during the data load when enabled.

Demographic Detail tab

The following table describes the fields on the Demographic Detail tab on the Employee Information form of the MO OASIS Report page.

Demographic Change

Indicates whether the employee's demographic information has changed since the last OASIS submission.


Calculated during the data load process.

The calculated value represents whether any demographic information has changed since the employee's most recent OASIS payroll submission. The system compares the employee's current name, suffix, address, city, state, zip code, and date of birth against the values from the employee's last submitted OASIS record. If any field differs, this option is selected. Otherwise, it is cleared. For new enrollments, this field is cleared.

Social Security Number

The employee's Social Security number. 

This field is view-only.

Populated during the data load process.

The field value is retrieved from the Social Security field on the Employee Information page.

Last Name

The employee's last name.

This field is view-only.

Populated during the data load process.

The field value is retrieved from the Last Name field on the Employee Information page.

First Name

The employee’s first name.

This field is view-only.


Populated during the data load process.

The field value is retrieved from the First Name field on the Employee Information page.

Middle Name

The employee's middle name.

This field is view-only.

Populated during the data load process.

The field value is retrieved from the Middle Name field on the Employee Information page.

Suffix

The employee’s name suffix.


Populated during the data load process.

The field value is retrieved from the Suffix field on the Employee Information page. Values of "JR" are automatically converted to "Jr." and values of "SR" are automatically converted to "Sr." during the load process.

This field value overrides the Suffix field value on the Employee Information page.

The values in the drop-down list are retrieved from the Suffix Table page.

Address 1

The first line of the employee's address. 


Populated during the data load process.

The field value is retrieved from the Address field on the Employment tab of the Employee Information page.

This field value overrides the Address field value on the Employment tab of the Employee Information page.

Address 2

The second line of the employee's address. 


Populated during the data load process.

The field value is retrieved from the Address field on the Employment tab of the Employee Information page.

This field value overrides the Address field value on the Employment tab of the Employee Information page.

Suite

The suite or apartment number of the employee's mailing address, if applicable.


Calculated during the data load process.

The calculated value defaults to blank during the data load process. You can manually enter a suite or apartment number if needed.

City

The employee's city of residence. 


Populated during the data load process.

The field value is retrieved from the City field on the Employment tab of the Employee Information page.

This field value overrides the City field value on the Employment tab of the Employee Information page.

State

The employee's state of residence. 


Populated during the data load process.

The field value is retrieved from the State field on the Employment tab of the Employee Information page.

This field value overrides the State field value on the Employment tab of the Employee Information page.

Zip Code

The employee's zip code. 


Populated during the data load process.

The field value is retrieved from the Zip Code field on the Employment tab of the Employee Information page. If the zip code contains exactly six characters with a trailing hyphen (e.g., "12345-"), the system automatically trims it to five characters.

This field value overrides the Zip Code field value on the Employment tab of the Employee Information page.

Date of Birth

The employee's date of birth. 

Populated during the data load process.

The field value is retrieved from the Birthdate field on the Employee Information page.

This field value overrides the Birthdate field value on the Employee Information page.
