Improvement to TX TEAM Charging Variance Report For Adjustment RP25 Records

In the TEAM charging variance report (Human Resources > State > Create Charging Records > Charging Variance Report), when an RP25 was included in the report, any values listed as ‘contributions from team’ that were not changed would show 0, which appeared to be a variance. This has been modified to show the original value from the RP25 record in this case, which should agree with the value from the ‘contributions from detailed distribution value’ on the report.

Corrected docking of Adjustment Statutory Minimum Compensation

Menu Path: HRM > State > TX Team Report > Load TEAM Records

While docking Adjustments of Statutory Minimum Compensation during the TEAM Load, when employees have hourly docking with multiple checks in the reporting period, days docked were adjusting the total days docked for hourly employees on each check, leading to an incorrect docking amount. A correction has been made to calculate the docking amount correctly.

Texas - PEIMS Profile Number of Days Employed Option Added

Menu path: PEIMS > All > Other > Profile

A new field labeled “Number of Days Employed” has been added to the PEIMS Profile. The new field allows the user to select whether the primary pay rate Contract Days or Days Worked is loaded into the Number Days Employed field in PEIMS > All > Data Exchange (Ed-Fi) > Staff Information (Demographics tab). The Number of Days Employed defaults to Days Worked.

When Days Worked is selected, the Number Days Employed will populate from the Days Worked on the primary pay rate, as it previously did.

When Contract Days is selected, and the Contract Position field on the primary pay rate is checked, then the Number Days Employed will populate from the Contract Days on the primary pay rate. If the Contract Position is unchecked, the Number Days Employed will populate from the Days Worked on the primary pay rate.

The State Required II Override Days field will continue to have precedence when loading the Number Days Employed in PEIMS > All > Data Exchange (Ed-Fi) > Staff Information (Demographics tab), regardless of the Number of Days Employed being set to Days Worked or Contract Days.

The ED-FI STAFF LOAD ERROR LOG (edfi_loaderr.log) generated from the Staff Information Load has been modified to generate a warning message when an employee does not have days worked, contract days, or 0 in the Override Days on the State Required II page. The warning message informs the user that the days employed on the staff demographic has been set to 0 and must be corrected since a 0 is not accepted by the state. A similar warning has been added if the PEIMS FTE on the State Required page or the FTE on the primary pay rate is set to 0. The warning informs the user that the percent employed on the staff demographic has been set to 0 and must be corrected since a 0 is not accepted by the state.

PEIMS - Corrected the fatal error caused by Contracted Instructional Staff Leading Zeros Dropped In Campus ID

An issue was discovered in PEIMS > Personnel > Contracted Instructional Staff, where campus IDs with leading zeros were stored incorrectly in the table. This mainly caused the campus to fail to display in the array, but in some cases, it could cause errors with very similar campus ID numbers (00123 matching 123). We’ve adjusted the field in the table to be character 9, so this will no longer happen, and the leading zeros will be preserved.

TEAM Load correction for fatal error when submitted ED45 needs corrections

Menu path: Human Resources > State > TX TEAM Report > Load TEAM Records

The Texas TEAM load is now corrected to properly handle ED45 records where the ‘Submitted to TRS’ flag was checked, but additional changes to the record are required in a subsequent load for the same month. The error log for the TEAM load will now show that a record already exists for the same record type and employee number for the month, which means additional revisions are necessary but cannot be automatically processed.

Load Date disappearing on update in the Financial Information and Staff Information pages

The display of the Date Loaded time/date stamp is now corrected and will be retained on the page when updates are made in the PEIMS > All > Data Exchange (Ed-Fi) > Financial Information and Staff Information options.

Texas Ed-Fi Contracted Staff Upload Additions and Date Maintenance

Menu path: PEIMS >All > Data Exchange (Ed-Fi) > Staff Information and the Staff Information > Load

On the Demographic tab, added the Hire Date, End Date, and District ID as well as to the fields usable in the contracted staff import file for Texas Ed-Fi Staff Information. The fields have been added to the end of each import line in the order listed. If the district ID is not provided in the file (field left blank), the district ID will default to the district ID stored in the PEIMS profile.

The hire date and end date are editable for staff records with employment type 3 - Contracted Staff.

Correct Reporting of Creditable Years for Texas Ed-Fi Staff Load

In Human Resources > Employee Information > Personnel > Defined Windows > State Required III, we added a new field, Non-Cred Year, which will override the reporting of Creditable Year for an employee with any TIA indicators set on State Required III.

  • If any TIA indicators are set and the Non-Cred Year flag is 'N' or blank, the Creditable Year field will be true.

  • If any TIA indicators are set and the Non-Cred Year flag is 'Y', the Creditable Year field will be false.

  • If no TIA indicators are set, the Creditable Year field will not be reported.
