Corrected Ed-Fi payroll record editing and added End Date to Staff Responsibilities Import

On the PEIMS > Data Exchange (Ed-Fi) > Staff page, the Maintenance page had a bug that prevented users from modifying payroll records, displaying an error message: “Staff ID is required.” This bug has been resolved to correctly set the payroll record data when retrieving it for maintenance.

The other change is for the PEIMS > Data Exchange (Ed-Fi) > Staff Responsibilities page’s import action. An oversight resulted in the end date not being an importable field for the staff responsibilities. This has been corrected, and the import process can now set the end date of the service record.

Ed-Fi Updates to Support Date-Driven Records

The PEIMS menu has now been updated to list the current items under PEIMS > Data Exchange (Ed-Fi) with updated headers to reflect the menu items' contents. Deprecated menu items have been removed from the menu.

Key changes across the Ed-Fi reportable screens include that dates are now associated with the appropriate records, primarily in the Financial Budget records, Staff Extensions, and Payroll records. The Staff Extensions are a new set of records maintained for staff through manual entry or through importing records via a spreadsheet. The upload file format information can be reviewed in the online help.

New Fields for Ed-Fi Staff Records

Two new fields (Years of TRA Teaching Experience and LEA Determined TRA Eligibility) have been added to PEIMS > Data Exchange > Staff > Staff Information to reflect the state’s recent schema updates. These fields can be modified on the Maintenance page if the user has the relevant security resources, and they can also be viewed on the demographics report generated using the PEIMS > Data Exchange > Staff > Staff Information > Reports page.

Loading New Ed-Fi Staff Fields

The new staff information fields (Years of TRA Teaching Experience and LEA Determined TRA Eligibility) have been added to Human Resources > Employee > Employee Information > Defined Windows > State Required III page as TRA Years Exp and TRA Eligible. The PEIMS > Data Exchange > Staff > Staff Information > Load will retrieve data from these fields when updating staff information.

Additionally, the PEIMS > Data Exchange > Ed-Fi Staff Extensions page has been adjusted slightly to use the same method as PEIMS > Data Exchange > Staff > TEA Staff Responsibilities to load a staff record if one does not already exist when attempting to add a new staff extension or responsibility record. Adding a record for a staff ID that is neither an employee nor has an existing staff record will result in a default record being created.
