Financial Information
The Texas Education Agency (TEA) is transitioning state data collection systems to the latest Ed-Fi Technology.
Use the Financial Information page to load financial data to be reported to Ed-Fi. You can also generate reports.
Menu path
From the main navigation menu, select PEIMS, then All. From the Data Exchange (Ed-Fi) menu, select Financial Information.
Prerequisites
You must first set up the PowerSchool Data Exchange (DEX) prerequisites.
Then, ensure the following prerequisites are met before working with financial information:
Set up the PEIMS Profile.
Set up the PEIMS reference tables.
Set up Account Translations.
Set up Shared Service Arrangements (011) and Shared Service Arrangements-Actual (033).
Load data for Actual and Budget information.
Maintain data
On the Financial Information page, enter Search Criteria and select Search.
To add a record, click Add new. Refer to Field descriptions, fill out the information, and click Accept.
To edit, double-click the record. Update the information and click Accept.
Except for the State Amount field, you cannot update the fields in the Ed-Fi Financial Information section of the Financial Information page.To delete a record, select the record and click Delete. Click Yes.
You can use the DEX Financial Audit Report page to audit changes to DEX financial data.
Field descriptions
The following table describes the fields in the Ed-Fi Financial Information section of the Financial Information page.
Field | Description |
---|---|
Financial Type | Identifies the type of financial data. This field is display-only and cannot be updated after saving the record. |
State Fund | The code identifying the PEIMS fund. This field is display-only and cannot be updated after saving the record. |
State Function | The code identifying the PEIMS function. This field is display-only and cannot be updated after saving the record. |
State Object | The code identifying the PEIMS object. This field is display-only and cannot be updated after saving the record. |
State Organization | The code identifying the PEIMS organization. This field is display-only and cannot be updated after saving the record. |
State Program | The code identifying the PEIMS program. This field is display-only and cannot be updated after saving the record. |
State Year | The code identifying the PEIMS year. This field is display-only and cannot be updated after saving the record. |
State Amount | The actual amount for the PEIMS account. |
Load data
You must load Actual Information and Budget Information data separately by following these procedures:
Load Actual Information data
On the Financial Information page, select Load.
Select the Financial Year. If the current fiscal year is 2023-2024, select 2023. Actual information is retrieved from the previous year’s ledgers.
Select Load Actual Information.
Actual information is for the mid-year submission.Enter the Fund Balance Object Codes.
Enter the State Funds.
Select Accept and then select a Destination:
Select File to create the report in .rpt format. In the File Name field, you can change the default file name.
Select Screen to download the report in .pdf format.
Select OK.
Download the .rpt file from the View Files page. The default file name is edfi_financial_detail.rpt.
Save the .pdf file. The default file name is edfi_financial_detail_<xxxxx>.pdf.

Inspect the report file and ensure only the relevant actual information is loaded.
Load Budget Information data
On the Financial Information page, select Load.
Select the Financial Year. If the fiscal year is 2023-2024, select 2024. Budget information is retrieved from the current year’s ledgers.
Select Load Budget Information.
Budget information is included in the Fall submission.Enter the Fund Balance Object Codes.
Enter the State Funds.
Select Accept and then select a Destination:
Select File to create the report in .rpt format. In the File Name field, you can change the default file name.
Select Screen to download the report in .pdf format.
Select OK.
Download the .rpt file from the View Files page. The default file name is edfi_financial_detail.rpt.
Save the .pdf file. The default file name is edfi_financial_detail_<xxxxx>.pdf.

Inspect the report file and ensure only the relevant budget information is loaded.
Create files
On the Financial Information page, select Reports.
Select Actual Information or Budget Information.
Select Accept and then select a Destination:
Select File to save the report in .rpt format.
Select Screen to save the report in .pdf format.
Select Excel to save the report in .xls format. Select the required Excel Options.
Select OK.
Save the report.
Navigate to the folder containing the report files.
Inspect the files. Update source data if needed.
Repeat these steps until all the required data is included.
The default file names are:
Actual Information:
RPT: edfi_financial_actual.rpt
PDF: edfi_financial_actual_<xxxxx>.pdf
Excel: edfi_financial_actualrpt<xxxx_xxxxx>.xlsx
Budget Information:
RPT: edfi_financial_budget.rpt
PDF: edfi_financial_budget_<xxxxx>.pdf
Excel: edfi_financial_budgetrpt<xxxx_xxxxx>.xlsx
