Certification of Balances - Load Data

Use the OH Certification of Balances - Fund Load page to automatically populate fund records into the Certification of Balances maintenance table for Ohio state reporting. This page retrieves fund information from the Chart of Accounts and creates initial records that can then be modified on the Certification of Balances Record form of the Certification of Balances page.

1. On the OH Certification of Balances page, select Load.

2. Select the Fiscal Year for which to load fund records. The default is the Year on the Fund Accounting Profile page.

3. Select Load, and then Yes.

4. If data for the selected criteria is loaded, select Yes to delete and reload the data.

5. Save the Load Summary report and select OK.

6. If errors are encountered, save the Load Error log and select OK.

7. Navigate to the folder containing the summary report file.

8. Inspect the files. Refer to Maintain data and update it as necessary.

9. Repeat these steps until no errors are encountered and all required data is loaded.

A record is loaded into the maintenance file for each unique level 1 Fund/SCC from the Fund Accounting Organization Chart. The Fund Classification and Fund Type are defaulted as follows:

• Proprietary Classification includes Funds 006, 009, 011, 012, 013, 014, 020, 021, 023, 024, 025, and 027.

• Fiduciary Classification includes Funds 007, 008, 022, 026, and 200.

• Governmental Classification includes all other Funds.

• Fund Types are based on the EMIS Fund Class Code table. Ensure it is set up before running this option.
