Staff Employment Report - Maintain Data

Use the IN Staff Employment Report page to enter, view, edit, and delete staff employment records for submission to the state.

If errors are encountered during the Load data process, you can correct the source data on the Staff Information form of the IN Staff Employment Report page. After corrections, you must purge and reload the data.

PowerSchool recommends that you correct the report’s source data that is retrieved from the Core application.

  1. On the IN Staff Employment Report page, apply the filter criteria. To enter filter criteria:

    1. Select an option in the first field.

    2. Select or enter a value.

    3. Select Add if the button is enabled.
      Refer to Search for records for more information.

      • To add a record, select Add Record. Refer to the Field descriptions and enter valid information in the required fields. Select Save, and then Yes.

      • To edit a record, select the ellipsis in the Actions column and then select Edit. Update the information and select Save.

      • To delete a record, select the ellipsis in the Actions column, select Delete, and then select Yes.

      • To download the information, select Download, then select Download PDF or Download as an Excel Document. The default file names are:

        • Excel: IN Staff Employment Report_<MMDDYYYY_hhmmss>.xlsx

        • PDF: IN Staff Employment Report_<MMDDYYYY_hhmmss>.pdf

Field descriptions

The following table describes the fields on the Staff Information form of the IN Staff Employment Report page.

Field

Description

Load logic - Data source and Valid values

Year

The school year for the employment record.

One record is allowed per employee per year.

This field is view-only and cannot be updated after saving the record.

Populated during the data load process.

The field value is retrieved from the School Year field on the IN Staff Employment Report – Report page.

Employee Number

The employee’s identification (ID) number.

One record is allowed per employee per year.

Select the Lookup icon to search for and select an employee number.

This field is view-only and cannot be updated after saving the record.

Populated during the data load process.

The field value is retrieved from the Employee Number field on the Employee Information page.

Last Name

The employee's last name.

This field is view-only.

Populated during the data load process.

The field value is retrieved from the Last Name field on the Employee Information page.

First Name

The employee’s first name.

This field is view-only.

Populated during the data load process.

The field value is retrieved from the First Name field on the Employee Information page.

Middle Initial

The employee's middle initial.

This field is view-only.

Calculated during the data load process.

The calculated value represents the first character of the Middle Name field on the Employee Information page.

SPN

The Indiana state-assigned SPN (State Personnel Number) for the employee.

Populated during the data load process.

The field value is retrieved from the Staff State ID field on the Personnel tab of the Employee Information page.

Hire Date

The employee's hire/contract start date for the school year.

Populated during the data load process.

The field value is retrieved from the Hire Date field on the Employment tab of the Employee Information page.

Employment Status

The employee's employment status.

Populated during the data load process.

The field value is retrieved from the Employ Status field on the Defined Page 32001 - New Hire Information page.

The values in the drop-down list are retrieved from the User Defined table ED.

End Date

The employee's contract or employment end date for the school year.

Calculated during the data load process.

The calculated value represents the termination date. It is set to the value of the Last Day Worked field on the Employee Information page, if present. Otherwise, it falls back to the Last Date to Pay field.

FTE

Full-time equivalent value representing the employee's work effort.

The limit is five digits, with three digits before and two digits after the decimal point.

The valid values are 0-100.

Populated during the data load process.

The field value is retrieved from the FTE field on the Pay Rate Information page for the primary pay rate. If no primary pay rate exists, the most recent pay rate is used instead.

Contract Days

The number of days in the employee's contract for the school year.

The valid values are 1-999.

Calculated during the data load process.

The calculated value represents the number of contract days. It uses the Contract Days field on the Pay Rate Information page as the primary pay rate if it is populated. Otherwise, it falls back to the Days Worked field from the same page. The resulting value is rounded to the nearest whole number.

Contract Salary

The employee's base contract salary amount for the school year.

Populated during the data load process.

The field value is retrieved from the Annual Salary field on the Pay Rate Information page for the primary pay rate. If no primary pay rate exists, the most recent pay rate is used instead.

Supplemental Salary

Additional salary beyond the base contract, calculated using pay codes mapped on the IN Staff Employment Report - Setup - Supplement Job Classes page.

Calculated during the data load process.

The calculated value represents the total supplemental compensation. It is the sum of the Annual Salary field values from all non-primary pay rates on the Pay Rate Information page whose job class code is configured on the IN Staff Employment Report - Setup - Supplement Job Classes page and whose effective pay period overlaps the school year date range.

Percent Title I Salary

The percentage of the employee's salary funded by Title I, calculated based on funds defined on the IN Staff Employment Report - Setup - Title I Funds page.

Calculated during the data load process.

The calculated value represents the percentage of the primary pay rate's salary funded by Title I. It is computed by summing the distribution percentages from Fund Accounting organization distribution records whose fund code is configured on the IN Staff Employment Report - Setup - Title I Funds page, scoped to the primary pay rate's job class and rate number, multiplying the result by 100, and rounding to the nearest whole number.

Professional Experience

The employee's total years of professional experience.

The limit is five digits, with three digits before and two digits after the decimal point.

The valid values are 0-100.

Populated during the data load process.

The field value is retrieved from the Years in State field on the Employment tab of the Employee Information page.
