Staff Injury Report

Indiana Code IC 20-19-3-27.5 and IC 20-26-5-42 require all Indiana public schools to report certain employee injury information to the Indiana Department of Education (IDOE) when an employee is physically injured on the job by a direct action of a student.

The reporting criteria include injuries that meet any of the following conditions:

  • The injury must be reported to the Workers' Compensation carrier.

  • The injury causes an employee to miss all or part of one workday.

  • The injury falls under the school corporation's internal reporting policy.

This requirement was enacted as part of a 2023 law, and the first data collection took place during the 2023-2024 school year.

Staff Injury data is submitted to IDOE through the state's Data Exchange (DEX) system, which is built on the Ed-Fi Data Standards and Technology Suite. Schools connect their information systems to the IDOE database through automated processes using the Ed-Fi standard. The production Ed-Fi API for the 2025-2026 school year is available at https://dataexchange.doe.in.gov/2026.

The Ed-Fi plugin implementation is in progress and will be delivered in a future release.

From the Human Resources menu, select State. From the State - IN menu, select Staff Injury Report.

Submission period

The annual data collection typically closes on June 30, aligning with the July certification window.

Selection rule

The load process selects employees who have at least one record in the Activity Tracker that meets both of the following conditions:

  • The activity type matches a situation type that begins with "STAFF INJURY."

  • The activity start date falls on or between the School Year Start Date and School Year End Date selected on the IN Staff Injury Report - Load page.

Each qualifying Activity Tracker row is loaded as a separate incident record. An employee who has multiple qualifying injury entries within the date range produces one record per incident.

Employees with an employee number greater than the configured maximum employee number for the environment are excluded after the initial selection.

Prerequisites

  • The STAFF INJURY situation type must exist in the Activity Tracker before injury records can be entered for employees.

  • Employees must have injury records entered in the Activity Tracker using the STAFF INJURY situation type (or any situation type beginning with "STAFF INJURY"). The activity start date on each record must fall within the school year date range selected on the IN Staff Injury Report - Load page. If no qualifying records exist for the selected date range, the load returns no records to process.

  • A successful load must be completed before the report can be generated. The report reads from data stored during the load process. If no load data exists for the selected school year and snapshot date, the report returns no records to process.
