Quarterly Wage and Multiple Worksite Report - Maintain Data

Use the VT Quarterly Wage Report page to review and manage the employee wage records that were extracted during the Load process.

If errors are encountered during the Load data process, you can correct the source data on the Employee Information form of the VT Quarterly Wage Report page. After corrections, you must purge and reload the data.

PowerSchool recommends that you correct the report’s source data that is retrieved from the Core application.

  1. On the VT Quarterly Wage Report page, filter records using the filter criteria. To enter filter criteria:

    1. Select an option in the first field.

    2. Select or enter a value.

    3. Select Add if the button is enabled.
      Refer to Search for records for more information.

      • To add a record, select Add Record. Refer to the Field descriptions and enter valid information in the required fields. Select Save, and then Yes.

      • To edit a record, select the ellipsis in the Actions column and then select Edit. Update the information and select Save.

      • To delete a record, select the ellipsis in the Actions column, select Delete, and then select Yes.

The following table describes the fields on the Employee Information form of the VT Quarterly Wage Report page.

Field

Description

Load logic - Data source and Valid values

Year

The reporting year for the employee record.

This field is view-only and cannot be updated after saving the record.

Populated during the data load process.

The field value is retrieved from the Reporting Year field on the VT Quarterly Wage Report - Load page.

Quarter

The reporting quarter for the employee record.

This field is view-only and cannot be updated after saving the record.

Valid values:

  • 1

  • 2

  • 3

  • 4

Populated during the data load process.

The field value is retrieved from the Reporting Quarter field on the VT Quarterly Wage Report - Load page.

Employee Number

The employee’s identification (ID) number.

Select the Lookup icon to search for and select an employee number.

This field is view-only and cannot be updated after saving the record.

Populated during the data load process.

The field value is retrieved from the Employee Number field on the Employee Information page.

Social Security Number

The employee's Social Security number. 

This field is view-only.

Populated during the data load process.

The field value is retrieved from the Social Security field on the Employee Information page.

Last Name

The employee's last name.

This field is view-only.

Populated during the data load process.

The field value is retrieved from the Last Name field on the Employee Information page.

First Name

The employee’s first name.

This field is view-only.


Populated during the data load process.

The field value is retrieved from the First Name field on the Employee Information page.

Middle Name

The employee's middle name.

This field is view-only.

Populated during the data load process.

The field value is retrieved from the Middle Name field on the Employee Information page.

Gender

The employee's gender.

This field is view-only.

Valid values:

  • M

  • F

Populated during the data load process.

The field value is retrieved from the Sex at Birth field on the Employee Information page.

Gross Wages

The total gross wages paid to the employee during the quarter.

Must be a positive decimal value.

The limit is 14 digits, with 12 digits before and two after the decimal point.

Calculated during the data load process.

The calculated value represents the total wages paid to the employee during the reporting quarter. The system sums the earnings amounts from the employee's check history records within the quarter date range, excluding pay codes marked as exempt from unemployment insurance contributions. Any voided check amounts are subtracted from the total.

Excess Wages

The portion of the employee's wages that exceeds the taxable wage base for the quarter.

Must be zero or a positive decimal value.

The limit is 14 digits, with 12 digits before and two after the decimal point.

Calculated during the data load process.

The calculated value represents the portion of the employee's year-to-date wages that exceeds the state unemployment insurance (SUI) taxable wage base. The system subtracts the UI Wage Base on the VT Quarterly Wage Report - Setup - Employer page from the employee's year-to-date earnings. The result is constrained so it cannot be less than zero or greater than the Gross Wages value for the quarter.

Taxable Wages

The wages subject to Vermont unemployment insurance tax.

Must be zero or a positive decimal value.

The limit is 14 digits, with 12 digits before and two after the decimal point.

This field is view-only.

Calculated during the data load process.

The calculated value represents the portion of the employee's gross wages that are subject to state unemployment insurance contributions. The system subtracts the Excess Wages from the Gross Wages to determine the taxable amount.

Hourly/Salaried Flag

Indicates whether the employee is paid on an Hourly or Salary basis.

Populated during the data load process.

The field value is retrieved from the Pay Method field on the Pay Rate Information page. The system reads the pay method from the employee's primary pay rate record.

Paid in Month 1

Indicates whether the employee received at least one payment during the first month of the reporting quarter.

Calculated during the data load process.

The calculated value indicates whether the employee received a paycheck during the first month of the reporting quarter. The system checks whether the employee's check history contains records with a pay run code that matches the values entered in the Pay Run(s) For 1st Month field on the VT Quarterly Wage Report - Load page.

Paid in Month 2

Indicates whether the employee received at least one payment during the second month of the reporting quarter. Used to calculate BLS monthly employment counts.

Calculated during the data load process.

The calculated value indicates whether the employee received a paycheck during the second month of the reporting quarter. The system checks whether the employee's check history contains records with a pay run code that matches the values entered in the Pay Run(s) For 2nd Month field on the VT Quarterly Wage Report - Load page.

Paid in Month 3

Indicates whether the employee received at least one payment during the third month of the reporting quarter. Used to calculate BLS monthly employment counts.

Calculated during the data load process.

The calculated value indicates whether the employee received a paycheck during the third month of the reporting quarter. The system checks whether the employee's check history contains records with a pay run code that matches the values entered in the Pay Run(s) For 3rd Month field on the VT Quarterly Wage Report - Load page.
