PERA Annual Leave Report - File Layout and Data Mapping

The default file name is MN PERA LOA Electronic Report_<YYYY>.xlsx
Where YYYY represents the Fiscal Year.

The following table outlines the details of the PERA Annual Leave Report's columns, fields, descriptions, formats, and valid values.

All fields are required.

The leave type.

  • 81 for Periodic Repetitive Leave

  • 82 for Budget Savings

  • 83 for Authorized Leave

  • 84 for Military

  • 85 for Workers Comp-off

B

Employer Number

The identification number given to the employer by PERA.

Numeric

It must be a valid six-digit PERA Employer Number.

The value is retrieved from the Human Resources Profile - State page.

C

SSN

Full Social Security Number.

Numeric

It must be a full nine-digit SSN.

The value is obtained from the MN PERA Annual Leave Report maintenance page.

D

Leave Start Date

The date leave started.

Date

MMDDYYYY

The first leave date must match the date when the employment status was updated for leave.

The value is obtained from the MN PERA Annual Leave Report maintenance page.

E

Leave End Date

The day before the employee came back to work.

Date

MMDDYYYY

The last day of your leave should be the day before you receive the Return from Leave Employment Status.

Hourly Rate

Hourly wage amount. If it increases during the leave, enter the average.

Numeric

It must be a numeric value and can include decimals.

G

Total Hours

Total number of work hours the employee missed.

Numeric

It must be a numeric value and can include decimals. It must be a minimum of one hour.
