PERA Annual Leave Report - Maintain Data

Use the MN PERA Annual Leave Report page to generate and print leave of absence reports for submission to the Public Employees Retirement Association (PERA). This page allows users to select previously loaded annual leave data, apply sorting options, and generate output in multiple formats, including hardcopy (PDF), electronic file (Excel), and Excel spreadsheet for review or submission to PERA.

If errors are encountered during the Load data process, you can correct the source data on the Employee Information form of the MN PERA Annual Leave Report page. After corrections, you must purge and reload the data.

PowerSchool recommends that you correct the report’s source data that is retrieved from the Core application.

  1. On the MN PERA Annual Leave Report page, filter records using the filter criteria. To enter filter criteria:

    1. Select an option in the first field.

    2. Select or enter a value.

    3. Select Add if the button is enabled.
      Refer to Search for records for more information.

      • To add a record, select Add Record. Refer to the Field descriptions and enter valid information in the required fields. Select Save, and then Yes.

      • To edit a record, select the ellipsis in the Actions column and then select Edit. Update the information and select Save.

      • To delete a record, select the ellipsis in the Actions column, select Delete, and then select Yes.

Field descriptions

The following table describes the fields on the Employee Information form of the MN PERA Annual Leave Report page.

Field

Description

Load logic - Data source and Valid values

Fiscal Year 

The fiscal year for which the leave is being reported to PERA.

This field is view-only and cannot be updated after saving the record.

Populated during the data load process.

The field value is retrieved from the Fiscal Year field on the MN PERA Annual Leave Report - Load page.

Employer Number

The district's PERA employer identification number.

This value identifies the employer in the PERA submission file.

This field is view-only and cannot be updated after saving the record.

Populated during the data load process.

The field value is retrieved from the PERA Employer Number field on the Human Resources Profile - State page.

Employee Number

The employee’s identification (ID) number.

Select the Lookup icon to search for and select an employee number.

This field is view-only.

The field value is retrieved from the Employee Number field on the Employee Information page.

Social Security

The employee's Social Security number. 

This field is view-only.

The field value is retrieved from the Social Security field on the Employee Information page.

Last Name

The employee's last name.

This field is view-only.

The field value is retrieved from the Last Name field on the Employee Information page.

First Name

The employee’s first name.

This field is view-only.

The field value is retrieved from the First Name field on the Employee Information page.

Leave Type

The two-character PERA transaction code identifying the type of leave.

Valid values:

  • 81 - Periodic Repetitive Leave

  • 82 - Budget Savings

  • 83 - Authorized Leave

  • 84 - Military Leave

  • 85 - Workers Compensation

Calculated during the data load process.

The calculated value represents the PERA transaction code derived by matching the employee's attendance pay code to the MN PERA Annual Leave Report - Setup - Leave Type page. The system retrieves the Leave to Subtract Time From or Leave to Add Time to field on the Payroll tab of the Pay Codes page, then looks up the corresponding Leave Type value from the MN PERA Annual Leave Report - Setup - Leave Type page.

Leave Start Date

The date the employee's leave period began.

Must be less than or equal to the Leave End Date.

For clubbed leave periods (consecutive leaves within 30 days), this reflects the earliest start date in the combined period.

Populated during the data load process.

The field value is retrieved from the Start Date field on the Attendance Information page.

Leave End Date

The date the employee's leave period ended.

Must be greater than or equal to the Leave Start Date.

For clubbed leave periods, this reflects the latest end date in the combined period.

Populated during the data load process.

The field value is retrieved from the Stop Date field on the Attendance Information page.

Hourly Rate

The employee's hourly wage rate during the leave period.

Calculated during the data load process.

The calculated value represents the employee's hourly wage rate derived from the primary payrate record.

  • For daily pay methods (D), the hourly rate is calculated by dividing the Docking Rate by Hours/Day.

  • For hourly, piece, rate, and salary pay methods (H, P, R, S), the hourly rate equals the Docking Rate.

Total Hours

The total number of leave hours for the reporting period.

Must be at least 1 hour.

Calculated during the data load process.

The calculated value represents the total leave hours based on the Leave Unit setting on the MN PERA Annual Leave Report - Setup - Leave Type page.

  • For daily leave units (D), the total hours are calculated as Leave Hours from Attendance × Hours/Day from Primary Payrate.

  • For hourly leave units (H), the total hours equal the Leave Hours from the attendance record. When multiple attendance records for the same leave type occur within 30 days, the hours are summed.
