PERA Annual Leave Report - Load Data

Use the MN PERA Annual Leave Report - Load page to extract and process employee leave of absence data for PERA (Public Employees Retirement Association) annual reporting. This page allows users to initiate the data extraction process, which retrieves employee attendance records for the specified fiscal year period, identifies PERA-eligible employees, calculates leave hours based on configured leave types, and stores the extracted data for report generation.

  1. On the MN PERA Annual Leave Report page, select Load.

  2. Refer to the Field descriptions and enter or select the required load criteria.

  3. Select Load, and then Yes.

  4. If data for the selected criteria is loaded, select Yes to delete and reload the data.

  5. Save the Load Summary report file and select OK.

  6. If errors are encountered, save the Load Error log and select OK.

  7. Navigate to the file location.

  8. Inspect the files. Refer to Maintain data and update the data as necessary.

  9. Repeat these steps until no errors are encountered and all required data is loaded.

Field descriptions

The following table describes the fields on the MN PERA Annual Leave Report - Load page.

Field

Description

Fiscal Year

The fiscal year for which leave data is being reported to PERA.

Fiscal Year Start

The beginning date of the fiscal year reporting period.

Only employee attendance records with a Start Date on or after this date are included in the data extraction.

Typically set to July 1 of the prior calendar year for a standard fiscal year (e.g., 07/01/2024 for fiscal year 2025).

Fiscal Year End

The ending date of the fiscal year reporting period.

Must be greater than or equal to the Fiscal Year Start date.

Only employee attendance records with a Start Date on or before this date are included in the data extraction.

Typically set to June 30 of the current calendar year for a standard fiscal year (e.g., 06/30/2025 for fiscal year 2025).
