User-Defined Codes - Human Resources

Set up user-defined codes used in MI State reporting. The following are the user-defined tables:

User-defined table for non-reportable pay codes for DTL2

Non-Reportable Pay Codes for DTL2

Used in the Table Code for Pay Codes not Reportable for DTL2 field on the Human Resources Profile - State page.

You can use any name for this table. In this procedure, we will use the table name NR.

ORS-PSERS (Public School Employees Retirement)

User-defined table for non-reportable pay codes for DTL4

Non-Reportable Pay Codes for DTL4

Used in the Table Code for Pay Codes not Reportable for DTL4 field on the Human Resources Profile - State page.

You can use any name for this table. In this procedure, we will use the table name D4.

ORS-PSERS (Public School Employees Retirement)

Populate EF

  1. On the start page, select Human Resources.

  2. Select Reference Tables, then from the Personnel menu, select User Defined Codes.

  3. Select Add new.

  4. Enter the Table Code as EF.

  5. In the Code field, enter a code from the Educator Effectiveness Codes (for example, 01).

  6. In the Title field, enter the corresponding title from the Educator Effectiveness Codes (for example, Highly Effective).

  7. Select Accept.

  8. Repeat these steps for the remaining codes listed under Educator Effectiveness Codes.

Populate RC

  1. On the start page, select Human Resources.

  2. Select Reference Tables, then from the Personnel menu, select User Defined Codes.

  3. Select Add new.

  4. Enter the Table Code as RC.

  5. In the Code field, enter a code from the Retirement Codes (for example, 01).

  6. In the Title field, enter the corresponding title from the Retirement Codes (for example, Regular Employee).

  7. Select Accept.

  8. Repeat these steps for the remaining codes listed under Retirement Codes.

Populate User-Defined Table For Non-Reportable Pay Codes for DTL2

When the retirement records are loaded, if an employee is a retiree and the pay code is in this user-defined table, the earnings associated with the pay code are not reported as retirement wages on the DTL2 (Wage and Service) record. They are included in the Non-Retirement Wages report.

  1. On the start page, select Human Resources.

  2. Select Reference Tables, then from the Personnel menu, select User Defined Codes.

  3. Select Add new.

  4. Enter the Table Code as NR.

  5. Enter a Code and Title of your choice.

    While the Code and Title do not have to be an exact match, they should help you recognize the code.

  6. Select Accept.

  7. Repeat these steps for the other non-reportable pay codes for DTL2.

Populate User-Defined Table For Non-Reportable Pay Codes for DTL4

When the retirement records are loaded, if an employee is a retiree and the pay code is in this user-defined table, the earnings associated with the pay code are not reported as retirement wages on the DTL4 (DC Contributions) record.

  1. On the start page, select Human Resources.

  2. Select Reference Tables, then from the Personnel menu, select User Defined Codes.

  3. Select Add new.

  4. Enter the Table Code as D4.

  5. Enter a Code and Title of your choice.

    While the Code and Title do not have to be an exact match, they should help you recognize the code.

  6. Select Accept.

  7. Repeat these steps for the other non-reportable pay codes for DTL4.
