Human Resources Profile – State

Before generating reports, enter valid information on the Human Resources Profile - State page.

  1. On the start page, select System Administration.

  2. Select Administration, then from the Profiles menu, select Human Resources Profile.

  3. Select State Window.

  4. Refer to Field Descriptions and enter valid information in the required fields.

  5. Select Accept.

Referencing Reports

Entity Number

The five-digit Reporting Unit or Entity Number assigned by the state retirement system. This is also known as the Employer Number.

ORS-PSERS (Public School Employees Retirement)

Division Number

State division number.

This field was previously used in retirement reporting but is no longer required.

Table Code for Pay Codes not Reportable for DTL2

The user-defined code of the table specifying which pay codes are non-reportable for the DTL2 record - Wage and Service.

ORS-PSERS (Public School Employees Retirement)

Table Code for Pay Codes not Reportable for DTL4

The user-defined code of the table specifying which pay codes are non-reportable for the DTL4 record - DC Contributions.

ORS-PSERS (Public School Employees Retirement)

Basis for ORS Class

Select the code used to translate to the Office of Retirement Services (ORS) Class Code:

  • ACCT - Account Code

  • CLASS - Job Class

  • ACCT/CLASS - Account Code with Job Class Override

Retirement Hour Exempt Paycodes

Pay codes that should not accumulate hours for retirement.

UIA Quarterly Wage Account Number

10-digit state-assigned Unemployment Insurance Agency (UIA) account number used in reporting quarterly wages.

Quarterly Unemployment Report

Federal Quarterly Wage ID Number

Nine-digit federal employer identification number. 

This field was previously used in quarterly wage reporting but is no longer required.

Group Life Insurance Paycodes

Group life pay codes to be included in unemployment quarterly wages.

TDP Reporting Unit Number

State-assigned five-digit Reporting Unit number used to report new Tax-Deferred Payment (TDP) agreements or addenda.

ORS-PSERS (Public School Employees Retirement) - Purchase Agreement/Payroll Authorization Report

Operating ISD/ESA Number

Two-digit state-assigned Intermediate School District/Educational Service Area (ISD/ESA) number.

Zero-filled.

A list of valid 'Operating ISD/ESA Numbers' is available in the Center for Educational Performance and Information (CEPI) data field description documentation for the Registry of Educational Personnel (REP).

MEIS REP (Registry of Educational Personnel)

Operating District Number

Five-character state-assigned local education agency (LEA), public school academy (PSA), or ISD number.

MEIS REP (Registry of Educational Personnel)

Accounting/Function Justification

Set the 'Accounting/Function Justification' to Left or Right. 

This specifies whether to use the right three or left three digits of the organizational level for the REP account number.

Do Not Report Substitutes

Select this option if substitutes are reported by the ISD and not the district in Michigan Education Information System (MEIS) REP.

Federal Funding Organization Level

The federal program ID Level. Enter the level of the organization chart that identifies federal funds.

This is used in the quarterly retirement reporting of Federal/Optional Retirement Plan (ORP) wages.

Federally Funded Organizations

Federal Retirement Code

The deduction code associated with federal wages.

You must set up this Retirement Code deduction on the MI Teacher Retirement - Retirement Deduction Codes page. It checks if a pay amount was exempt from the deduction code. This is used in the quarterly retirement report.

ORS-PSERS (Public School Employees Retirement) - Federal/ORP Wages Report

Salary Calculation Code

Code to determine how the pay rate (annual salary) should be calculated for retirement.

Valid values:

  • 1 - report the annual salary from the employee's primary rate record when the annual salary on the primary rate reflects the total salary for all possible rates.

  • 2 - sum the annual salaries for all the contract rates for the employee.

ORS-PSERS (Public School Employees Retirement)

Use Employment Status for REP

Select this option if the REP Employment Status (Field 25) should be loaded directly from the Status field on the Employee Information page.

Otherwise, the REP employment status will default to 99 unless the employee is determined to be a new teacher (98) or has a termination code.

MEIS REP (Registry of Educational Personnel)

Default Base Salary

Select this option to report the pay rate as the employee annual salary.
