Maintain Data

You can correct the loaded data before submitting the report. However, you must also update the source data.

  1. On the MI MEIS REP (Registry of Educational Personnel) page, filter records using the filter criteria. To enter filter criteria:

    1. Select an option in the first field.

    2. Select or enter a value.

    3. Select Add if the button is enabled.
      Refer to Search for records for more information.

      • To add a record, click Add Record. Refer to the Field descriptions and enter valid information in the required fields. Select Save, and then Yes.

      • To edit a record, select the ellipsis in the Actions column and then select Edit. Update the information and select Save.

      • To delete a record, select the ellipsis in the Actions column, select Delete, and then select Yes.

Demographic/Measurement Data section

The following table describes the fields in the Demographic/Measurement Data section of the General Information tab on the MEIS Information form of the MI MEIS REP (Registry of Educational Personnel) page.

Field

Description

Load logic - Data source and Valid values

Submission Date

The official REP submission date (Date of Count) for the reporting period as assigned by the Center for Educational Performance and Information (CEPI).

The field value is retrieved from the Submission Date field on the MI MEIS REP (Registry of Educational Personnel) - Load page.

Employee Number

The employee number.

This field is view-only.

Select Lookup to search for and select an employee number.

The field value is retrieved from the Employee Number field on the Employee Information page.

Personnel Id Code

The state-generated unique identifier for the staff member in the REP database.

The field value is retrieved from the Staff State ID field on the Personnel tab of the Employee Information page.

This field value overrides the Staff State ID field on the Personnel tab of the Employee Information page.

First Name

The employee’s first name.

Required for personnel with assignment codes 000AX through 99900.

This field is view-only.

The field value is retrieved from the First Name field on the Employee Information page.

Middle Name

The employee’s middle name.

Required for personnel with assignment codes 000AX through 99900.

This field is view-only.

The field value is retrieved from the Middle Name field on the Employee Information page.

Last Name

The employee's last name.

Required for personnel with assignment codes 000AX through 99900.

This field is view-only.

The field value is retrieved from the Last Name field on the Employee Information page.

Suffix

The employee’s name suffix.

This field is view-only.

The field value is retrieved from the Suffix field on the Employee Information page.

Date of Birth

The employee's date of birth. 

Required for personnel with assignment codes 000AX through 99900.

This field is view-only.

The field value is retrieved from the Birthdate field on the Employee Information page.

Social Security

The employee's Social Security number. 

For assignment codes 000AX through 00599 (excluding 00310 through 00413 and 000NF), 60300 and 60400, this field or the Credential License Number field in the Credential/Professional Development Data section must have a value.

Required for all other assignment codes.

This field is view-only.

The field value is retrieved from the Social Security field on the Employee Information page.

Gender

The employee's gender. 

Required for personnel with assignment codes 000AX through 99900.

Valid values:

  • Male

  • Female

The field value is retrieved from the Sex at Birth field on the Employee Information page.

This field value overrides the Sex at Birth field on the Employee Information page.

Date of Hire

The employee’s date of hire.

Required for personnel with assignment codes 000AX through 99900.

This field is view-only.

The field value is retrieved from the Hire Date field on the Employment tab of the Employee Information page.

Termination Date

The termination date of the employee.

Required for personnel with assignment codes 000AX through 99900.

The field value is retrieved from the Last Date to Pay field on the Terminate Employee page.

This field value overrides the Last Date to Pay field on the Terminate Employee page.

Employment Status

The employee's employment status code.

Required for personnel with assignment codes 000AX through 99900.

The default value is 99.

Valid values:

  • 00 = Vacant position

  • 01 = Left education and is not pursuing further employment

  • 02 = Left education for other career in different field

  • 03 = Left district and moved out of state

  • 04 = Left education because of transfer of spouse

  • 05 = Left for other employment in field of education

  • 06 = Left for family medical leave and will not return

  • 07 = On leave directly to retirement or termination from district

  • 08 = Left to further education at college or university

  • 09 = Left on disability and will not return

  • 10 = Left special education and went to general education in different district

  • 11 = Left district and went to special education in another district

  • 12 = Laid off by district (will not return to district)

  • 13 = Discharged

  • 14 = Deceased

  • 15 = Illness/disability and not expected to return

  • 16 = Retired (position will not be filled)

  • 17 = Contract expired

  • 18 = Other

  • 19 = Retired (position will be filled)

  • 97 = New teacher (teacher in first three years in profession, but not a new employee to the district)

  • 98 = New teacher (teacher in first three years in profession)

  • 99 = Returning employee, new (noninstructional) employee, new experienced teacher, substitute, contractor or employee on leave

Educator Effectiveness

The employee’s educator effectiveness rating.

Required for personnel with assignment codes listed under Assignment Codes - Effectiveness rating required.

Not required for personnel with assignment codes listed under Assignment Codes - Effectiveness rating not required.

Valid values:

  • 01 - Highly Effective

  • 02 - Effective

  • 03 - Ineffective

  • 08 - Minimally Effective

  • 09 - Exemption

  • 12 - Effective

  • 13 - Developing

  • 14 - Needing Support

  • 15 - Exempt: Teacher Effective

  • 16 - Exempt: Admin Effective

  • 17 - Uneval: Under 60 Workdays

  • 18 - Uneval: Extenuating Circum

  • 19 - Uneval: Grievance Vacated

The field value is retrieved from the Effectiveness field on the Defined Page 500 - MEIS REP page.

This field value overrides the Effectiveness field on the Defined Page 500 - MEIS REP page.

The values in the drop-down list are retrieved from the User Defined Table EF.

Racial/Ethnic Category

The race or ethnicity of the employee.

Required for personnel with assignment codes 000AX through 99900.

Valid values:

  • 100000 = American Indian or Alaska Native

  • 010000 = Asian American

  • 001000 = Black or African American

  • 000100 = Native Hawaiian or Other Pacific Islander

  • 000010 = White

  • 000001 = Hispanic or Latino

The field value is retrieved from the Race field on the Race/Ethnicity tab of the Employee Information page.

This field value overrides the Race field on the Race/Ethnicity tab of the Employee Information page.

Highest Educational Level

The highest education attained by the employee.

Required for personnel with assignment codes 000AX through 99900.

Valid values:

  • 00 - None

  • 01 - High School Diploma or Equivalent

  • 02 - Associate’s Degree

  • 03 - Bachelor’s Degree

  • 04 - Master’s Degree

  • 05 - Specialist’s Degree

  • 06 - Doctoral Degree

  • 07 - Juris Doctorate

  • 08 - Medical Degree

  • 09 - Other License, Credential or Professional Degree

  • 10 - Obtained Paraprofessional Quality Standard on State Assessment

This field value overrides the Type field on the Degree Data page.

Credential/Professional Development Data section

The following table describes the fields in the Credential/Professional Development Data section of the General Information tab on the MEIS Information form of the MI MEIS REP (Registry of Educational Personnel) page.

Field

Description

Credential License Number

The state-issued credential number for licensed personnel. This is the credential number on the license the employee is using for this position.

Required for personnel with assignment codes 000AX through 00598 (excluding 00310 through 00413), 60300, and 60400.

The field value is retrieved from the Number field on the Certifications/Licenses page.

This field value overrides the Number field on the Certifications/Licenses page.

Funded Position Status

The status of positions that are either filled by permanent employees, approved substitutes, or outside contractors, or remain unfilled.

Required for personnel with assignment codes 000AX through 79999.

Required for personnel with assignment codes 81500 through 99900 when code 7 is reported in this field.

Valid values:

  • 1 = funded position has been posted, but no one has been employed to perform the job duties

  • 2 = funded position has not been filled, and an individual has been contracted to fill the position and provide a specific service

  • 3 = permanent employee is not currently reporting to work because of a loan, leave, sabbatical, Family Medical Leave Act leave, educational leave, medical leave, or other type of leave, and no one is assigned to the position

  • 4 = substitute or temporary employee is assigned to fill the position of a permanent employee on loan, leave sabbatical, FMLA leave, educational leave, medical leave, or other type of leave

  • 5 = funded position has been posted, and a substitute has been employed to fill the vacant position

  • 6 = an individual has been contracted to fill the position of a permanent employee on loan or leave

  • 7 = provides contracted services for the district in a non-instructional staff assignment (assignment codes 81500 through 99900), such as food service, transportation, or security

  • 9 = position is filled by a permanently assigned employee

The default value is 9.

Credential Type

Indicates if the educator does not hold an active credential.

Required for personnel with assignment codes 000AX through 99900.

Valid values:

  • Blank = holds an active credential

  • 02 = does not hold an active credential

The default is blank.

The field value is retrieved from the Credential field on the Credential Data page.

This field value overrides the Credential field on the Credential Data page.

Highest Educational Level

The highest education attained by the employee.

Required for personnel with assignment codes 000AX through 99900.

Valid values:

  • 00 - None

  • 01 - High School Diploma or Equivalent

  • 02 - Associate’s Degree

  • 03 - Bachelor’s Degree

  • 04 - Master’s Degree

  • 05 - Specialist’s Degree

  • 06 - Doctoral Degree

  • 07 - Juris Doctorate

  • 08 - Medical Degree

  • 09 - Other License, Credential or Professional Degree

  • 10 - Obtained Paraprofessional Quality Standard on State Assessment

Professional Development

The number of days by type(s) of professional development provided to new teachers (those within their first three years of employment in classroom teaching) during the school year (July 1 to June 30).

Required for personnel with assignment codes 000AX through 00599 (except 00200 through 00413), 60300, and 60400 that are reported with a value of 97 or 98 in the Employment Status field in the Demographic/Measurement Data section.

The field values are retrieved from the Type 1 Days, Type 2 Days, and Type 3 Days fields on the Defined Page 501 - New Teacher Professional Development page.

This field value overrides the Type 1 Days, Type 2 Days, and Type 3 Days fields on the Defined Page 501 - New Teacher Professional Development page.

Assignments tab

On the Assignments tab:

  • To add a record, select Add New Assignment. Refer to the Field descriptions and enter valid information in the required fields. Select Save, and then Yes.

  • To edit a record, select the Edit icon. Update the information and select Save.

  • To delete a record, select the Delete icon and then select Yes.

Field

Position

The employee’s assignment position.

Required for personnel with assignment codes 000AX through 99900.

The field value is retrieved from the Assignment field on the Assignments page.

This field value overrides the Assignment field on the Assignments page.

FTE

The full-time equivalency of the position expressed as a percentage.

Required for personnel with assignment codes 000AX through 99900 except assignment codes 000SUB, 00PAR, and 00STU, regardless of the FTE count.

The field value is retrieved from the Percent field on the Assignments page.

This field value overrides the Percent field on the Assignments page.

School

The school’s state-assigned entity number in the Educational Entity Master.

Required for personnel with assignment codes 000AX through 99900.

The field value is retrieved from the Location field on the Assignments page.

This field value overrides the Location field on the Assignments page.

Number of Classes

The number of classes taught for each core academic subject area assignment.

For core academic assignment codes (000AX through 000ZZ, 00192, and 00197), report the number of core academic classes taught (1 through 9) for each core academic assignment code on the Assignments tab.

For non-core academic assignment codes (000AX through 00413), report a value of 0 through 9. Reporting the number of classes taught is optional for non-core academic assignment codes.

For all other assignment codes (00500 through 99900), report 0 (not applicable) for this position.

The valid values are 0 - 9.

The field value is retrieved from the Number of Classes field on the Assignments page.

This field value overrides the Number of Classes field on the Assignments page.

Account Code

The accounting/function code for the employee as determined for accounting purposes by the school district.

For information about valid values, refer to Accounting or Function Codes.

The field value is retrieved from the Account Code field on the Assignments page.

This field value overrides the Account Code field on the Assignments page.

Wage

The amount paid to an employee on an hourly basis.

Not applicable

Assignments tab - Grade Level

The following table describes the fields under the Grade Level option on the MEIS Assignment form of the Assignments tab on the MEIS Information form of the MI MEIS REP (Registry of Educational Personnel) page.

Field

Description

Load logic - Data source and Valid values

Developmental-Kindergarten through 12th Grade (14 fields)

Indicates the grade levels that apply to the assignment, from Developmental-Kindergarten through 12th Grade.

For assignment codes 000AX through 99900, report either the grade level or educational setting.

For staff members assigned to specific program areas, such as migrant or special education, submit the appropriate educational setting for the position reported.

For assignment codes 81500 through 99900 that are reported with the minimal required fields, the reporting of the grade level or educational setting is not required.

Special education personnel must be reported by the age group they serve for at least 50 percent or more of their instruction time.

The field values are retrieved from the Grade Level section on the Assignments page.

This field value overrides the fields in the Grade Level section on the Assignments page.

Assignments tab - Educational Setting

For assignment codes 000AX through 99900, report either the grade level or educational setting.

  • Bilingual Education/ELL - Section 41

  • Migrant Education Program

  • Migrant Education Program - Summer

Alternative Education

Indicates whether the employee is assigned to alternative education.

Indicates whether the employee is assigned to adult education.

Indicates whether the employee is assigned to early childhood or parenting.

Indicates whether the employee is assigned to career or technical education.

Indicates whether the employee is assigned to a state agency.
