Viewing the Uploaded Data

The Certifications/Licenses page allows users to view and update an employee's various certifications. The procedure for importing the ODE certification records must be completed first. For details, refer to Certification Upload. Once certification records have been added, users can access the different certification/license pages through the appropriate Action Items.

If a certification type does not exist in the Certification Types reference table then it is automatically added to the reference table with next available number.  In addition, if a certification area does not exist in the Certification Areas reference table then it is automatically added to the reference table with the next available number.

Menu Path:  Human Resources > Entry & Processing > Employee > Employee Information > search for and select an employee > click OK to display the Employee Information detail page > click Personnel Information on the Action Bar, and then select Certifications/Licenses

Action Bar Items

The following items display on the Action Bar:

Insert Row

Inserts new row to enter Certification data into.

Delete Row

Deletes selected Certification row.

Teaching Fields

Displays the Teaching Fields page. This page is used to manage any teaching certification or licensing an employee may have.

Endorsements

Displays the Endorsements page. This page is used to manage any sort of endorsement an employee may have.

Limitations

Displays the Limitations page. This page is used to manage any sort of limitations an employee may have.

Cautions and Restrictions

  • The certification type and certification area code descriptions are used to determine the appropriate type and area codes for the certification, therefore, the descriptions must match exactly what is in the file without case sensitivity.

  • The staff state ID (Certification ID) must be entered on the User Defined Window, Page 10000, in order for the program to determine the employee number for the certification.  If the Certification ID does not exist an error is generated for the certification on the report

  • The District IRN must be entered on the EMIS Profile in order to run the upload non-interactively.

Inserting a new Certification Or License Row

  1. Select Human Resources > Entry & Processing > Employee > Employee Information to display the Employee Information page.

  2. Search for and select an employee.

  3. Click Personnel Information on the Action Bar, and then click Certifications/Licenses from the drop-down to display the Certifications/Licenses page.

  4. In the Certifications or Non-Teaching Licenses section, click Insert Row to insert a new row of information.

  5. Complete the fields as needed. For details, refer to the Fields section below.

  6. Click OK to save the record.

Deleting a Certification Or License Row

  1. Select Human Resources > Entry & Processing > Employee > Employee Information to display the Employee Information page.

  2. Search for and select an employee.

  3. Click Personnel Information on the Action Bar, and then click Certifications/Licenses from the drop-down to display the Certifications/Licenses page.

  4. In the Certifications List or Non-Teaching Licenses section, select the row of information you wish to delete, and then click Delete Row on the Action Bar.

Note

Unlike most delete procedures, this one will not provide a Confirmation dialog before you finalize deletion. Be sure you are ready to delete the selected record before clicking Delete Row on the Action Bar.

Viewing Teaching Fields

  1. Select Human Resources > Entry & Processing > Employee > Employee Information to display the Employee Information page.

  2. Search for and select an employee.

  3. Click Personnel Information on the Action Bar, and then click Certifications/Licenses from the drop-down to display the Certifications/Licenses page.

  4. Select the desired Certification, and then click Teaching Fields to display the Teaching Fields page. For details on this page, refer to Teaching Fields Page.

Viewing Endorsements

  1. Select Human Resources > Entry & Processing > Employee > Employee Information to display the Employee Information page.

  2. Search for and select an employee.

  3. Click Personnel Information on the Action Bar, and then click Certifications/Licenses from the drop-down to display the Certifications/Licenses page.

  4. Select the desired Certification, and then click Endorsements to display the Endorsements page. For details on this page, refer to Endorsements Page.

Viewing Limitations

  1. Select Human Resources > Entry & Processing > Employee > Employee Information to display the Employee Information page.

  2. Search for and select an employee.

  3. Click Personnel Information on the Action Bar, and then click Certifications/Licenses from the drop-down to display the Certifications/Licenses page.

  4. Select the desired Certification, and then click Limitations to display the Limitations page. For details on this page, refer to Limitations Page.

Fields

Certifications section

Field

Description

Number

Registrations or serial number of the credential. If a number is not associated with the credential, you may enter its title. In any case you must complete this field to enter other information on the same line. Character/16

Issued

Date when the credential was issued.

Expiration

Date when the credential expires or must be renewed.

Effective

Registration date that the certification became effective.

Type

Code identifying the type of credential as defined in the Certification Type Table in Human Resources.

Area

Code identifying the credential's subject area or discipline as defined in the Certification Area Table in Human Resources.

  • In school districts, these codes can refer to academic subjects, such as English or Social Studies, or the education level, such as Elementary or Secondary. Other possible areas of certification include educational administration, guidance counseling, library science, and school nursing.

  • In municipalities, these codes can refer to qualifications related to accounting, public administration, treatment plant operations, environmental protection, public health, recreation, and other municipal functions.

Primary

Selection determining whether the certification has primary status. This can indicate that the certification fulfills a prerequisite for the employee's position or is the most relevant of the credentials listed.

Select:

Primary (default)
Not Primary

The field is required so you must enter one of these for each record. However, the Primary selection can only be assigned to one certification.

Non-Teaching Licenses section

Field

Description

Type

Code identifying the type of license, as defined in the License Types table.

Issued

Date when the license was issued.

Expiration

Date when the license expires or must be renewed.

License Number

Identification number of the license.

State

State for which the license was issued.
