Statement R Detail

Use the EMIS Statement R Detail page to add, update, delete, search, and print civil proceedings records for Ohio EMIS Statement R state reporting. This page allows users to enter detailed information about legal proceedings involving the school district, including case details, court information, plaintiffs/defendants, and related expenses. The data is included in the QC (Financial) record type for EMIS state reporting submissions. You must populate this table manually.

Maintain data

  1. On the start page, select EMIS.

  2. From the EMIS Financial Tables menu, select Statement R Detail.

  3. Filter records using the filter criteria. To enter filter criteria:

    1. Select an option in the first field.

    2. Select or enter a value.

    3. Select Add if the button is enabled.
      Refer to Searching for Records for more information.

      • To add a record, select Add Record. Refer to the Field descriptions and enter valid information in the required fields. Select Save, then Yes.

      • To edit a record, select the ellipsis in the Actions column and then select Edit. Update the information and select Save.

      • To delete a record, select the ellipsis in the Actions column, select Delete, and then select Yes.

      • To download the information, select Download, then select Download PDF or Download as an Excel Document.

EMIS Statement R (Civil Proceedings)

The following table describes the fields on the EMIS Statement R (Civil Proceedings) tab on the EMIS Statement R Detail form of the EMIS Statement R Detail page.

Field

Data source and Valid values

Record Number

A unique sequential identifier for the Statement R detail record.

This field is view-only.

Calculated during the add process.

The system retrieves the maximum record number from the ohefin_stat_rdet table and increments it by 1.

Record Status

Indicates the status of the record for EMIS reporting.

This field is view-only.

The valid value is A - Add.

The field value is system-assigned.

The field is automatically set to A - Add when a new record is created.

Sort Type

Identifies the EMIS record type.

This field is view-only.

The valid value is QC.

The field value is system-assigned.

The field is automatically set to QC when a new record is created.

Fiscal Year

The fiscal year for EMIS reporting.

This field is view-only.

The field value is retrieved from the Financial Fiscal Year field on the EMIS Profile page.

Reporting Period

The reporting period for EMIS submission.

This field is view-only.

Valid values:

  • N - Beginning of Year

  • L - End of Year

  • P - December 31

  • H - July 30

  • K - October 15

The field value is retrieved from the Financial Reporting Period field on the EMIS Profile page.

District IRN

The six-digit state-assigned Information Retrieval Number (IRN) that uniquely identifies the school district.

This field is view-only.

The field value is retrieved from the District IRN field on the EMIS Profile page.

Schedule Sequence

The code identifying the schedule sequence for the civil proceedings record.

This field is view-only.

The valid value is ZBZ.

The field value is system-assigned.

The field is automatically set to ZBZ when a new record is created.

Schedule Frequency

The three-digit code (001-999) representing the schedule frequency for Statement R reporting.

The value must match the Schedule Frequency field value on the EMIS Statement R Descriptions form.

The value must be incremented by 1 for each proceeding.

This field cannot be updated after saving the record.

The valid values are 1-999.

Calculated during the add process.

The system retrieves the maximum schedule frequency from the ohefin_stat_rdet table and increments it by 1, returning the result as a three-digit code.

Line Number

A sequential line number for the record.

This field is view-only.

The valid value is 1.

The field value is system-assigned.

The field is automatically set to 1 when a new record is created.

Schedule Number

Identifies the record's schedule type.

This field is view-only.

The valid value is STR.

The field value is system-assigned.

The field is automatically set to STR when a new record is created.

Proceedings Details

The following table describes the fields on the Proceedings Details tab on the EMIS Statement R Detail form of the EMIS Statement R Detail page.

Case Number

The unique case number assigned to the civil proceeding.

Not applicable

Court Name

The name of the court where the civil proceeding is being held.

Plaintiff/Defendant - Type

The single-character code indicating whether the entry is a Plaintiff or Defendant.

Up to 5 plaintiff/defendant entries can be recorded per case.

Valid values:

  • P = Plaintiff

  • D = Defendant.

Plaintiff/Defendant - Name

The name of the plaintiff or defendant associated with the civil proceeding.

Up to 5 plaintiff/defendant names can be recorded per case.

Not applicable

Capacity of Board

Indicates the role of the school board in the civil proceeding.

Valid values:

  • P = Plaintiff

  • D = Defendant.

Total Expense for Proceedings

The cumulative total expense for the civil proceeding through the current fiscal year.

Not applicable

Expense for Proceedings

The expense incurred for the civil proceeding during the current fiscal year only.

Not applicable

Copy

Use this option to copy the EMIS Statement R Detail data from one year to another.

  1. On the EMIS Operational Unit page, select Copy.

  2. Select the Year to Copy and Year to Create.

  3. Select Copy and then Yes.

  4. If data for the selected Year to Create exists, select Yes to delete and recopy the data.
