Quarterly Unemployment Report - File Layout and Data Mapping

The default file names for the Quarterly Unemployment report are:

Non-UI Exempt file: UI_<Reporting Year>_<Reporting Quarter>_UIWage.txt
UI Exempt file: UI_<Reporting Year>_<Reporting Quarter>_UIExempt.txt

The following table shows the positions, field names, descriptions, and data source or valid values for the Quarterly Unemployment report.

1-8	Employer Account Number	The Unemployment Insurance (UI) account number assigned to the employer by the state.	For employees eligible for unemployment insurance, the value is retrieved from the UI Employer Account Number - Non-Exempt field on the Human Resources Profile - State page. For employees exempted from unemployment insurance, the value is retrieved from the UI Employer Account Number - Exempt field on the Human Resources Profile - State page.
9-12	Employer Unit Location Number	The number assigned by the state to distinguish between records with the same UI account number.	Retrieved from the UI Employer Unit Location Number field on the MN Quarterly Unemployment Table Information form of the MN Quarterly Unemployment Report page.
13-17	Reporting Period	The four-digit calendar year followed by the single-digit quarter.	Retrieved from the Reporting Year and Reporting Quarter fields on the MN Quarterly Unemployment Table Information form of the MN Quarterly Unemployment Report page.
18	Month 1 Employment	Indicates whether the employee worked during or received pay for the pay period including the 12th day of the 1st month of the reporting period.	Retrieved from the Paid in Month 1 field on the MN Quarterly Unemployment Table Information form of the MN Quarterly Unemployment Report page. Valid values: 1 = Employee worked during or received pay for the pay period, including the 12th day of the 1st month of the reporting period. 0 = Employee did not work and received no pay for the period, including the 12th day of the 1st month of the reporting period.
19	Month 2 Employment	Indicates whether the employee worked during or received pay for the pay period including the 12th day of the 2nd month of the reporting period.	Retrieved from the Paid in Month 2 field on the MN Quarterly Unemployment Table Information form of the MN Quarterly Unemployment Report page. Valid values: 1 = Employee worked during or received pay for the pay period, including the 12th day of the 2nd month of the reporting period. 0 = Employee did not work and received no pay for the period, including the 12th day of the 2nd month of the reporting period.
20	Month 3 Employment	Indicates whether the employee worked during or received pay for the pay period including the 12th day of the 3rd month of the reporting period.	Retrieved from the Paid in Month 3 field on the MN Quarterly Unemployment Table Information form of the MN Quarterly Unemployment Report page. Valid values: 1 = Employee worked during or received pay for the pay period, including the 12th day of the 3rd month of the reporting period. 0 = Employee did not work and received no pay for the period, including the 12th day of the 3rd month of the reporting period.
21-29	Employee Social Security Number	The employee’s Social Security number.	Retrieved from the Social Security Number field on the MN Quarterly Unemployment Table Information form of the MN Quarterly Unemployment Report page.
30-49	Employee Last Name	The employee’s last name.	Retrieved from the Last Name field on the MN Quarterly Unemployment Table Information form of the MN Quarterly Unemployment Report page.
50-64	Employee First Name	The employee’s first name.	Retrieved from the First Name field on the MN Quarterly Unemployment Table Information form of the MN Quarterly Unemployment Report page.
65	Employee Middle Initial	The employee’s middle initial.	Retrieved from the Middle Initial field on the MN Quarterly Unemployment Table Information form of the MN Quarterly Unemployment Report page.
66-79	Employee UI Wages	The total UI wages paid to the employee during the quarter.	Calculated during the file creation process. The calculated value represents the hours amount written to the electronic file. If UI Exempt is not selected on the MN Quarterly Unemployment Report - Report page, the value is retrieved from the UI Hours field on the MN Quarterly Unemployment Table Information form of the MN Quarterly Unemployment Report page. If UI Exempt is selected, the value is instead retrieved from the Paid Leave Subject Hours field on the same form.
80-81	Blank	Not applicable	Not applicable
82-84	UI Hours or Paid Leave Subject Hours	The value is UI Hours (from the UI Wages/Hours calculation) when generating the standard (non-UI Exempt) electronic file, and automatically Paid Leave Subject Hours when UI Exempt is selected on the MN Quarterly Unemployment Report - Report page.	Calculated during the file creation process. The calculated value represents the hours amount written to the electronic file. If UI Exempt is not selected on the MN Quarterly Unemployment Report - Report page, the value is retrieved from the UI Hours field on the MN Quarterly Unemployment Table Information form of the MN Quarterly Unemployment Report page. If UI Exempt is selected, the value is instead retrieved from the Paid Leave Subject Hours field on the same form.
