LA PEP Report - Maintain Data - Teacher Information

If errors are encountered during the Load data process, you can correct the source data on the Teacher Information tab of the LA PEP Report page. After corrections, you must reload the data.

PowerSchool recommends that you correct the report’s source data that is retrieved from the Core application.

  1. On the LA PEP Report page, search for records using the search criteria. Refer to Search for records for more information.

  2. Select the Teacher Information tab.

    • To add a record, select Add new. Refer to the Field descriptions, enter valid information, and select Accept.

    • To edit a record, select the record and select Accept. Update the information and select Accept.

    • To delete, select Delete, and then Yes.

Field descriptions

The Teacher Information tab on the LA PEP Report page consists of the following sections:

General Information

The following table describes the fields in the General Information section on the Teacher Information tab of the LA PEP Report page.

Field

Certificate Type/Number/Suffix

The certificate type, number, and suffix.

The Certificate Type and Certificate Number fields must be blank if a value is present in the Certificate Exception Code field.

The Certificate Suffix field is required if the Employee Status field value is any of the following:

  • 01

  • 03

  • 04

  • 05

For Employee Status 02, this field is optional or should be left blank.

Certificate Exception Code

The teaching certificate exception code representing the allowed exception in which a teacher may teach without possessing a Louisiana teaching certificate issued by the Office of Teacher Certification. 

The Certificate Type and Certificate Number fields must be blank if a value is present in this field.

Valid values:

  • 3 - Foreign Language Associate

  • 5 - Certificate Pending

  • 6 - LA School for Math, Arts, and Sciences

  • 9 - Certificate not applied for

Certificate Exception Code 5 - Certificate Pending is intended for use as a temporary indicator only. It is critical that this exception code is removed and the certificate number added to the PEP Teacher Information record as soon as the teaching certificate is issued.

The field value is retrieved from the Cert Except. field on the Defined Page 1000 - Louisiana PEP Data page.

This field value overrides the Cert Except. field value on the Defined Page 1000 - Louisiana PEP Data page.

Education Level

The educational level code indicating the highest level of academic achievement on which the employee's salary is based.

This field is required if the Employee Status field value is any of the following:

  • 01

  • 03

  • 04

  • 05

  • 06

For Employee Status 02, this field is optional or should be left blank.

Valid values:

  • 01 - Less than High School

  • 02 - High School and GED

  • 03 - Trade/Technical Certificate

  • 04 - 1 yr. College

  • 05 - 2 yrs. College

  • 06 - Associate Degree

  • 07 - 3 yrs. College

  • 08 - Bachelors degree

  • 09 - Masters degree

  • 10 - Masters +30

  • 11 - Educational Specialist

  • 12 - Doctorate

Years Experience

The employee's total years of experience on which the salary is based.

This field is required if the Employee Status field value is any of the following:

  • 01

  • 03

  • 04

  • 05

  • 06

For employee status code 02, this field is optional, and the valid value is 00.

If this is the employee's first year working in this field, the valid value is 00.

The field value is retrieved from the Years in Total field on the Employment tab of the Employee Information page.

This field value overrides the Years in Total field value on the Employment tab of the Employee Information page.

Days Employed

The number of employment days.

Not applicable

Part/Full Time

The employee type code indicating whether the employee is full- or part-time.

Valid values:

  • F - Full Time

  • P - Part Time

The field value is retrieved from the Part Time Status field on the Personnel tab of the Employee Information page.

This field value overrides the Part Time Status field value on the Personnel tab of the Employee Information page.

Retirement Code

The retirement system code representing the retirement system in which the employee is an active participant.

This field is required if the Employee Status field value is any of the following:

  • 01

  • 05

  • 06

Leave this field blank if the Employee Status field value is any of the following:

  • 02

  • 03

  • 04

Valid values:

  • 01 - Louisiana Teachers Retirement 

  • 02 - Louisiana Teachers Retirement Plan A

  • 03 - Louisiana Teachers Retirement Plan B

  • 04 - Louisiana Teachers Retirement DROP

  • 05 - Louisiana School Employees Retirement

  • 06 - Louisiana State Employees Retirement

  • 07 - Louisiana Parochial Employees Retire

  • 08 - FICA

  • 09 - Louisiana School Employees Retirement DROP

  • 10 - Louisiana State Employees Retirement DROP

  • 11 - Louisiana Parochial Employees Retire DROP

  • 98 - Other

This field value overrides the Retire Code field value on the Defined Page 1000 - Louisiana PEP Data page.

The values in the drop-down list are retrieved from the User-defined table RC.

Retiree Return Code

The employee's retiree return-to-work code, under which the retired employee returned to work.

This field is required if the Employee Status field value is any of the following:

  • 01

  • 05

  • 06

Leave this field blank if the Employee Status field value is any of the following:

  • 02

  • 03

  • 04

Leave this field blank for employees who are not retirees returning to work.

Valid values:

  • 1 - Without Salary Limits 

  • 2 - With Salary Limits

The field value is retrieved from the Retire Return field on the Defined Page 1000 - Louisiana PEP Data page.

This field value overrides the Retire Return field value on the Defined Page 1000 - Louisiana PEP Data page.

Sabbatical Status

The sabbatical status code indicating the sabbatical type taken.

This field is optional or must be left blank if the Employee Status field value is any of the following:

  • 01

  • 05

  • 06

Leave this field blank if the Employee Status field value is any of the following:

  • 02

  • 03

  • 04

Valid values:

  • 1 - 1st half of year

  • 2 - 2nd half of year

  • 3 - Full year

  • 9 - Extended sick leave

Salary Reduction Code

The salary reduction code indicating why an employee’s June 30 salary data is less than the budgeted salary data when the time worked equals the same full-time equivalent (FTE) status reflected in the October 1 data collection. 

For example, for the October 1 data collection period, an employee’s total salary is budgeted at $40,000.00, with an FTE = 1. The total salary paid for the June 30 collection is $27,000.00, with an FTE = 1. A salary reduction code would indicate that, although the FTE remained 1, certain situations resulted in a salary reduction.

This field is optional or must be left blank if the Employee Status field value is any of the following:

  • 01

  • 05

  • 06

Leave this field blank if the Employee Status field value is any of the following:

  • 02

  • 03

  • 04

Leave this field blank if the position is vacant.

Valid values:

  • 01 - Residual Pay

  • 02 - Extended Medical

  • 03 - Other

Employee Status

The employee's LEA status code.

This field value must be 01 for vacant positions.

Valid values:

  • 01 - School Board Employee

  • 02 - Post Secondary Employee

  • 03 - Contracted Professional

  • 04 - Third Party Contract

  • 05 - State Employee(Classified)

  • 06 - State Employee(Unclassified)

  • 07 - Resident Teacher

This field value overrides the Status Code field value on the Defined Page 1000 - Louisiana PEP Data page.

Hire Date

The employee's date of hire.

The format is MMDDYYYY.

This field is required if the Employee Status field value is any of the following:

  • 01

  • 05

  • 06

This field must be blank for vacant positions.

The field value is retrieved from the Hire Date field on the Employment tab of the Employee Information page.

This field value overrides the Hire Date field value on the Employment tab of the Employee Information page.

Exit Reason Code

The code for the employee's reason for exiting employment.

Valid values:

  • 01 - License Revoked

  • Accepted a non-reaching position within district

  • Death

  • Terminated

  • Resigned - Dissatisfaction with school or district policies

  • Accepted a teaching or leadership position outside of Louisiana

  • Accepted a teaching or leadership position within Louisiana

  • Accepted a position outside of the field of education

  • Resigned - personal circumstances

  • Employee did not respond to exit interview request

  • Reduction in force/layoff

  • Retirement

  • Resigned - anticipating termination

Nurse Certification Number

The registered nurse (RN) certification number.

The field value is retrieved from the Number field on the Certifications/Licenses page when the employee has a certificate with the certification type RN and the certificate is set as the primary certification.

Nurse Certification Verified

Indicates whether the Nurse Certification Number must be verified during the Load process.

This option is selected by default.

Not applicable

Highly Qualified Teacher Information

The fields in the Highly Qualified Teacher Information section indicate that the employee is highly qualified according to the definition of a Highly Qualified Teacher in the No Child Left Behind Act (NCLB).

The following are the fields in the Highly Qualified Teacher Information section on the Teacher Information tab of the LA PEP Report page:

  • Elementary-General

  • Elementary-Foreign Language

  • Middle School-English

  • Middle School-Math

  • Middle School-Science

  • Middle School-Social Studies

  • Middle School-Foreign Language

  • Para-professional

Minutes and Salary Information

The following table describes the fields in the Minutes and Salary Information section on the Teacher Information tab of the LA PEP Report page.

Workday Minutes

The number of minutes in the average workday applicable for the combination of one or more contracts under which the individual was employed during the school year being reported. 

This field is required if the Employee Status field value is any of the following:

This field should be left blank if the Employee Status field value is any of the following:

  • 02

  • 03

  • 04

The field value is retrieved from the Minutes/Day field on the Defined Page 1000 - Louisiana PEP Data page.

Total Salary

The employee's total annual salary for all the positions for which the employee is assigned, excluding PIP Salary.

This field is required if the Employee Status field value is any of the following:

  • 01

  • 05

  • 06

This field should be left blank if the Employee Status field value is any of the following:

  • 02

  • 03

  • 04

The field value is retrieved from the Annual Salary field on the Pay Rate Information page.

This field value overrides the Annual Salary field value on the Pay Rate Information page.

PIP Salary

The additional salary amount provided to PIP participants.

This field is required if the Employee Status field value is any of the following:

  • 01

  • 05

  • 06

This field should be left blank if the Employee Status field value is any of the following:

  • 02

  • 03

  • 04

This field must be blank for vacant positions.

Valid values:

  • For the October collection period, the maximum allowed PIP Salary Amount is $3,721.00. The minimum PIP Salary Amount is $1,129.00.

    For the June 30 collection, the maximum PIP Salary Amount remains at $3721.00. The minimum PIP Salary Amount is reflective of the number of days worked within the fiscal year.

Demand Salary 

The employee's total demand salary.

This field is required if the Employee Status field value is any of the following:

  • 01

  • 05

  • 06

This field should be left blank if the Employee Status field value is any of the following:

  • 02

  • 03

  • 04

This field must be blank for vacant positions.

The field value is retrieved from the Annual Salary field on the Pay Rate Information page.

This field value overrides the Annual Salary field value on the Pay Rate Information page.

Performance Salary

The employee's total performance salary.

This field is required if the Employee Status field value is any of the following:

  • 01

  • 05

  • 06

This field should be left blank if the Employee Status field value is any of the following:

  • 02

  • 03

  • 04

This field must be blank for vacant positions.

Tenure Information

  • 00 - Not applicable (Charter school or not a teacher)

  • 01 - Has tenure

Add Date

The date the employee received tenure.

This field is enabled if the Status field value is any of the following:

  • 01 - Has tenure

  • 03 - Had tenure but lost it

This field is required if the Status field value is 01 - Has tenure.

This field is required if the Employee Status field value is any of the following:

  • 01

  • 05

  • 06

This field is optional or should be left blank if the Employee Status field value is any of the following:

  • 02

  • 03

  • 04

This field must be blank for vacant positions.

Lost Date

The date the employee lost tenure.

This field is enabled if the Status field value is 03 - Had tenure but lost it.

This field is required if the Status field value is 03 - Had tenure but lost it.

  • 06

This field is optional or should be left blank if the Employee Status field value is any of the following:

  • 02

  • 03

Lost Reason

The reason the employee lost tenure.

This field is enabled if the Status field value is 03 - Had tenure but lost it.

This field is required if the Status field value is 03 - Had tenure but lost it.

This field is required if the Employee Status field value is any of the following:

  • 01

  • 05

  • 06

This field is optional or should be left blank if the Employee Status field value is any of the following:

  • 02

  • 03

  • 04

This field must be blank for vacant positions.

Valid values:

  • 01 - Lost due to effectiveness

  • 02 - Lost due to felony/other reason
