Maintain Demographics ED20 Or ED25 Records

Use the TX TEAM Report - Demographic (ED20/ED25) page to create and update Employment for Demographics records (ED) that were not created during the TEAM load process.

The ED20 is a record of a new employee's demographic information. You must submit it for all new employees and employees who were previously terminated and then rehired.

You must submit ED25 records for any changes made to the demographic information.

Menu path

From the Human Resources menu, select State. From the State menu, select TX TEAM Report. From the TEAM Record Maintenance menu, select Maintain Demographics ED20/ED25 Records.

Change processing

The TEAM load process checks the most recent record and compares it to the current data. If you make changes after an ED20 record has been reported, the system creates an ED25 record. You cannot submit an ED25 record in the same month as the ED20 record. For changes needed to ED20 records for the current month, update the record, then select Resubmit to flag it for resubmission. 

Maintain data

  • On the TX Team Report - Demographic (ED20/ED25) page, enter Search Criteria and select Search.

    • To add a record, select Add new. Refer to the Field descriptions, fill in the information, and select Accept.

    • To edit, double-click the record. Update the information and select Accept
      You can only update ED20 records for the current month before the final submission. Create an ED25 record for prior month changes.

    • To delete a record, select the record and select Delete.

Field descriptions

The TX TEAM Report - Demographic (ED20/ED25) page consists of the following:

General section

The following table describes the fields in the General section of the TX TEAM Report - Demographic (ED20/ED25) page.

Field

Record Code

The type of demographic record.

This field is view-only and cannot be updated after saving the record.

Valid values:

  • ED20

  • ED25

Report Month

The month for the report data.

This field is view-only and cannot be updated after saving the record.

Valid values:

  • 1

  • 2

  • 3

  • 4

  • 5

  • 6

  • 7

  • 8

  • 9

  • 10

  • 11

  • 12

Report Year

The year for the report data.

This field is view-only and cannot be updated after saving the record.

Not applicable

Employee Number

The employee’s identification (ID) number.

Select the Lookup icon to search for and select an employee number.

This field is view-only and cannot be updated after saving the record.

The field value is retrieved from the Employee Number field on the Employee Information page.

Resubmit

Indicates whether this record is a resubmission.

Records flagged as a resubmission can be created and submitted separately. For more information, refer to Create TEAM Reports.

Not applicable

Submitted to TRS

Indicates whether this record has been submitted to the Teachers' Retirement System (TRS).

The Member tab consists of the following:

Current Data

Enter only new data in the Current Data section.

The following table describes the fields in the Current Data section of the Member tab on the TX TEAM Report - Demographic (ED20/ED25) page when the Record Code selected in the General section is ED20 or ED25.

Field

Description

Load logic - Data source and Valid values

Identification Code

The current type of identification to be used for the report.

Valid values:

  • Social Security

  • TRS assigned

The default is Social Security.

Social Security/TRS ID

The employee's current Social Security number or TRS member ID number.

This field is view-only.

The field value is retrieved from the Social Security field on the Employee Information page.

Last Name

The employee's current last name.

The field value is retrieved from the Last Name field on the Employee Information page.

This field value overrides the Last Name field value on the Employee Information page.

First Name

The employee's current first name.

The field value is retrieved from the First Name field on the Employee Information page.

This field value overrides the First Name field value on the Employee Information page.

Middle Name

The employee's current middle name.

The field value is retrieved from the Middle Name field on the Employee Information page.

This field value overrides the Middle Name field value on the Employee Information page.

Suffix

The employee’s current name suffix.

Valid values:

  • I

  • II

  • III

  • IV

  • V

  • VI

  • VII

  • VIII

  • IX

  • X

  • XI

  • JR

  • SR

The field value is retrieved from the Suffix field on the Employee Information page.

This field value overrides the Suffix field value on the Employee Information page.

Birth Date

The employee's current date of birth.

The field value is retrieved from the Birthdate field on the Employee Information page.

This field value overrides the Birthdate field value on the Employee Information page.

Gender

The employee's current gender.

Leave this field blank to indicate a gender identity other than male or female. 

Valid values:

  • Female

  • Male

The field value is retrieved from the Sex at Birth field on the Employee Information page.

This field value overrides the Sex at Birth field value on the Employee Information page.

Email Address

The employee's current email address.

The field value is retrieved from the Email field on the Employment tab of the Employee Information page. If the field is blank, the value is retrieved from the Personal Email field.

This field value overrides the Email and Personal Email fields on the Employment tab of the Employee Information page.

Home Phone

The employee's current home phone number.

The field value is retrieved from the Home Phone field on the Employment tab of the Employee Information page.

This field value overrides the Home Phone field value on the Employment tab of the Employee Information page.

Previously Reported to TEAM

The following table describes the fields in the Previously Reported to TEAM section of the Member tab on the TX TEAM Report - Demographic (ED20/ED25) page when the Record Code selected in the General section is ED25.

Field

Identification Code

The previously reported type of identification to be used for the report.

Valid values:

  • Social Security

  • TRS assigned

The field value is retrieved from the tx_team_dem.id_code field of the previously submitted ED20/ED25 record. If that field is empty, it is retrieved from the tx_team_dem.orig_id_code field.

Social Security/TRS ID

The employee's previously reported Social Security number or TRS member ID number.

This field is view-only.

The field value is retrieved from the tx_team_dem.ssn field of the previously submitted ED20/ED25 record. If that field is empty, it is retrieved from the tx_team_dem.orig_ssn field.

Last Name

The employee's previously reported last name.

The field value is retrieved from the tx_team_dem.l_name field of the previously submitted ED20/ED25 record. If that field is empty, it is retrieved from the tx_team_dem.orig_lname field.

First Name

The employee's previously reported first name.

When ED25 is selected, the Remove Contents option displays beside this field in the Current Data section. Select Remove Contents to replace the data with X's and remove the data from the record.

The field value is retrieved from the tx_team_dem.f_name field of the previously submitted ED20/ED25 record. If that field is empty, it is retrieved from the tx_team_dem.orig_fname field.

Middle Name

The employee's previously reported middle name.

When ED25 is selected, the Remove Contents option displays beside this field in the Current Data section. Select Remove Contents to replace the data with X's and remove the data from the record.

The field value is retrieved from the tx_team_dem.m_name field of the previously submitted ED20/ED25 record. If that field is empty, it is retrieved from the tx_team_dem.orig_mname field.

Suffix

The employee’s previously reported name suffix.

When ED25 is selected, the Remove Contents option displays beside this field in the Current Data section. Select Remove Contents to replace the data with X's and remove the data from the record.

The field value is retrieved from the tx_team_dem.gen_code field of the previously submitted ED20/ED25 record. If that field is empty, it is retrieved from the tx_team_dem.orig_gen_code field.

Birth Date

The employee's previously reported date of birth.

The format is MM/DD/YYYY.

The field value is retrieved from the tx_team_dem.dob field of the previously submitted ED20/ED25 record. If that field is empty, it is retrieved from the tx_team_dem.orig_dob field.

Gender

The employee's previously reported gender.

Leave this field blank to indicate a gender identity other than male or female. 

Valid values:

  • Female

  • Male

The field value is retrieved from the tx_team_dem.sex field of the previously submitted ED20/ED25 record. If that field is empty, it is retrieved from the tx_team_dem.orig_sex field.

Email Address

The employee's previously reported email address.

When ED25 is selected, the Remove Contents option displays beside this field in the Current Data section. Select Remove Contents to replace the data with X's and remove the data from the record.

The field value is retrieved from the tx_team_dem.email_addr field of the previously submitted ED20/ED25 record. If that field is empty, it is retrieved from the tx_team_dem.orig_email_addr field.

Home Phone

The employee's previously reported home phone number.

When ED25 is selected, the Remove Contents option displays beside this field in the Current Data section. Select Remove Contents to replace the data with X's and remove the data from the record.

The field value is retrieved from the tx_team_dem.phone field of the previously submitted ED20/ED25 record. If that field is empty, it is retrieved from the tx_team_dem.orig_phone field.

Address tab

The following table describes the fields on the Address tab of the TX TEAM Report - Demographic (ED20/ED25) page when the Record Code selected in the General section is ED20.

Field

Address

The employee's street address.

The field value is retrieved from the Address field on the Employment tab of the Employee Information page.

This field value overrides the Address field value on the Employment tab of the Employee Information page.

City

The employee's city of residence.

The field value is retrieved from the City field on the Employment tab of the Employee Information page.

This field value overrides the City field value on the Employment tab of the Employee Information page.

State

The employee's state of residence. 

Required for domestic addresses.

The field value is retrieved from the State field on the Employment tab of the Employee Information page.

This field value overrides the State field value on the Employment tab of the Employee Information page.

Zip

The employee's zip code. 

Required for domestic addresses.

The field value is retrieved from the Zip Code field on the Employment tab of the Employee Information page.

This field value overrides the Zip Code field value on the Employment tab of the Employee Information page.

Province

The foreign province where the employee resides.

Required for addresses outside of the province.

The field value is retrieved from the State/Province field on the Defined Page 31998 - TRS Member Data page.

Country

The foreign country where the employee resides.

Required for addresses outside of the province.

The field value is retrieved from the Country field on the Defined Page 31998 - TRS Member Data page.

Foreign Postal Code

The foreign postal code for the employee's address.

Required for addresses outside of the province.

The field value is retrieved from the Postal Code field on the Defined Page 31998 - TRS Member Data page.

Clear Resubmit Records

Use the Clear Resubmit Records option to remove the Resubmit flag from records for the selected month and year.

  1. On the TX Team Report - Demographic (ED20/ED25) page, select Clear Resubmit Records.

  2. Select the Report Month and Report Year.

  3. Select Accept, then select Yes.
