PA Annual Financial Report – Revenues - Setup - State Revenues

Use the PA Annual Financial Report - Revenues - State Revenues page to enter, search, and maintain Pennsylvania AFR state revenue records and their associated revenue amounts.

  1. On the PA Annual Financial Report - Revenues page, select State Revenues.

  2. Enter the Search Criteria to find the required crosswalk records, and then select Search.
    Refer to Search for records for more information.

    • To add a record, select Add new. Refer to the Field descriptions, enter valid information, and select Accept.

    • To edit a record, select the record and select Accept. Update the information and select Accept.

    • To delete, select the record and select Delete. Select Yes.

    • To generate a report, select Print, and then select a Destination:

      • Select File to create the report in .rpt format. The default file name is AFRrevCodes.rpt. You can change the default file name.

      • Select Screen to download the report in .pdf format. The default file name is AFRrevCodes_<#####>.pdf.

      • Select Excel to download the report in .xlsx format. Select the required Excel Options. The default file name is AFRrevCodesrpt<####_#####>.xlsx.

        • Select OK.

          • Download the .rpt file from the View Files page.

          • Save the .pdf or .xlsx file.

Field descriptions

The following table describes the fields on the PA Annual Financial Report - Revenues - State Revenues page.

Field

Description

Year

The fiscal year for which the state revenue code record applies.

This field is view-only and cannot be updated after saving the record.

Revenue Code

The state-defined revenue code from PDE's chart of accounts, used to categorize and report revenue during the AFR load process.

School District

Indicates whether the revenue code is applicable for school districts.

Charter School

Indicates whether the revenue code is applicable for charter schools.

Career and Technology Center/Area Vocational Technical School

Indicates whether the revenue code is applicable for career and technology centers and area vocational technical schools.

Special Program Jointure

Indicates whether the revenue code is applicable for special program jointures.

Load External

Use the PA Annual Financial Report - Revenues - State Revenues - Load External page to load PA AFR revenue codes and their applicable organization types from an external .txt or .dat file.

  1. On the PA Annual Financial Report - Revenues - State Revenues page, select Load External.

  2. Select the Year to be associated with the revenue codes.

  3. Select Client PC or Server.

  4. Select Upload and then select the file to upload.

  5. Select Accept.

  6. If data for the selected year is loaded, select OK to delete and reload the data.

  7. Select OK.

Copy

Use the PA Annual Financial Report - Revenues - State Revenues - Copy page to copy PA AFR revenue code records and their applicable organization types from one year to another.

  1. On the PA Annual Financial Report - Revenues - State Revenues page, select Copy.

  2. Select the Year To Copy and Year To Create.

  3. Select Accept.
