Attendance

Use the Attendance Information page to add, update, delete, and search employee attendance records, including absences, leave usage, and substitute assignments. This page allows users to track employee time off, manage leave balances, record substitute teacher/staff assignments, and capture Ohio-specific retirement service credit data for SERS and STRS reporting.

  1. On the start page, select Human Resources.

  2. Select Entry & Processing.

  3. From the Employee menu, select Attendance.

  4. Enter the Search Criteria to find the required attendance records, and then select Search.
    Refer to Search for records for more information.

    • To add a record, select Add new. Refer to the Field descriptions, enter valid information, and select Accept.

    • To edit a record, select the record and select Accept. Update the information and select Accept.

    • To delete, select the record and select Delete. Select Yes.

Field descriptions

The following section describes the Ohio-specific fields on the Substitute Data tab of the Attendance Information page.

For information about the other fields on the Attendance Information page, refer to Add and Maintain Attendance Records.

Substitute Data tab

Use the Substitute Data tab on the Attendance Information page to record substitute employee assignments when covering for an absent employee. This tab allows users to capture substitute pay information, work location, account distribution, and Ohio-specific retirement service credit data for SERS and STRS reporting.

The following table describes the Ohio-specific fields on the Substitute Data tab of the Attendance Information page.

Use these fields to adjust substitute retirement time when setting up SERS and STRS Retirement Time Calculations.

Field

Description

SERS/STRS Days Paid

The number of retirement service credit days the substitute earned for this attendance entry.

This value is reported to SERS or STRS based on the substitute's retirement system setting in the pay code.

The days entered here update the substitute's retirement days on the Payroll Information - State Required page and are included in eSERS or STRS payroll reporting.

When adjusting substitute retirement time, use this field to control the number of days to add. When calculating SERS and STRS retirement time, this value is multiplied by the number of hours per day under a matching pay rate.

SERS Extra Hours Worked

The additional SERS hours worked beyond the standard hours/days for this attendance entry.

Only applicable when the substitute's pay code is linked to SERS.

These extra hours accumulate toward additional SERS service credit when the substitute works overtime or extended hours.

When adjusting substitute retirement time, use this field to enter any additional hours that are not multiples of the hours per day for this pay rate.

SERS Extra Days Worked

The additional SERS days worked that have no corresponding hours reported.

Used to capture extra service credit days for SERS reporting when the substitute works additional days without logging specific hours.

When adjusting substitute retirement time, use this field to specify extra days without associated hours. This only impacts the total number of days, not the hours.

Local Work Tax

The local work tax location if the substitute works in a different Ohio tax jurisdiction than their default.

Ensures proper municipal or school district income tax withholding based on where the work was performed rather than the substitute's home location.
