Payroll Information - State Required

Before generating the reports, enter valid information on the Ohio State Reports page.

Enter Information for Regular Employees

On the Employee Information page, the Pending Status for a regular employee is blank.

  1. On the start page, select Human Resources.

  2. Select Entry & Processing, then from the Employee menu, select Employee Information.

  3. Enter the search criteria, select Exclude Pending Employees, and then select Search.

  4. Select the relevant employee record, then select Accept

  5. Select Payroll Information, then select State Required.

  6. Refer to Field Descriptions and enter valid information. 

  7. Select Accept.

Enter Information for Pending Employees

Pending employees require additional information to complete the employee record. On the Employee Information page, the Pending Status on the record displays Add Pending.

  1. On the start page, select Human Resources.

  2. Select Entry & Processing, then from the Employee menu, select Employee Information.

  3. Enter the search criteria, select Only List Pending Employees, and then select Search.

  4. Select the relevant employee record, then select Accept

  5. Select Missouri State Required Screen

  6. Refer to Field Descriptions and enter valid information.

  7. Select Finish.

  8. On the navigation bar, select Finish.

  9. Select OK.

PSRS Member #

The number identifying the employee as a Public School Retirement System (PSRS) member.

OASIS Report

Ret Dt PSRS

The employee's PSRS retirement date.

OASIS Report

Months(PSRS)

The number of months served for PSRS reporting.

OASIS Report

Marital Status

The employee's marital status.

Valid values:

  • S - Single

  • M - Married

  • U - Unknown

OASIS Report

Part Time

Indicates whether the employee is part-time.

Valid values:

  • Y

  • N

Leave the field blank to imply N.

OASIS Report

Hours Worked

The number of hours the employee worked during each pay period.

OASIS Report

Annual Salary

The employee's annual base salary.

OASIS Report

R Wage Pos Cd

The employee's position code for the R - Non-Member Retiree wage type.

Valid values:

  • 000 - Non-Member

  • 001 - Superintendent/CEO

  • 005 - Asst. Superintendent/VP

  • 010 - Principals/Asst Principal

  • 020 - Office Administration

  • 030 - Teachers

  • 040 - Instructional Aides

  • 050 - Nurses/Health Services

  • 060 - Transportation

  • 070 - Food Services

  • 080 - Maintenance

  • 090 - Other

  • 095 - Qualified Public Safety Personnel

  • 100 - Secondary Position

OASIS Report

Position Code

The code identifying the employee's position.

Valid values:

  • 000 - Non-Member

  • 001 - Superintendent/CEO

  • 005 - Asst. Superintendent/VP

  • 010 - Principals/Asst Principal

  • 020 - Office Administration

  • 030 - Teachers

  • 040 - Instructional Aides

  • 050 - Nurses/Health Services

  • 060 - Transportation

  • 070 - Food Services

  • 080 - Maintenance

  • 090 - Other

  • 095 - Qualified Public Safety Personnel

  • 100 - Secondary Position

OASIS Report

Separate Date

The probationary date for the Quarterly Contribution and Wage report.

Quarterly Contribution and Wage Report

Empl Status

The employee's PSRS/PEERS (Public Education Employee Retirement System) defined status.

Valid values:

  • T - Terminated

  • L - Leave

  • M - Military Leave

  • S - Sick Leave

  • A - Active

OASIS Report

PEERS Member #

The number identifying the employee as a PEERS member.

OASIS Report

Ret Dt PEERS

The employee's PEERS retirement date.

OASIS Report

P/T Member #

The number identifying the employee's PSRS part-time membership.

OASIS Report

Months(PT)

The number of months for Part-Time PSRS reporting.

OASIS Report

Mnths(PEERS)

The number of months served for PEERS reporting.

OASIS Report

Status Date

The date the employee's status changed.

OASIS Report

W4 Sign Date

The date the employee signed their W-4.

OASIS Report

New Hire Rtpd

Indicates if the new hire employee has been reported.

After the New Hire report is generated, this field is updated to Y for employees reported. It ensures that the same employees do not get reported again.

Valid values:

  • Y

  • N

Leave the field blank to imply N.

New Hire Report

O Wage Pos Cd

The employee's position code for the O wage type (Non-Member PSRS as Non-Certified).

Valid values:

  • 000 - Non-Member

  • 001 - Superintendent/CEO

  • 005 - Asst. Superintendent/VP

  • 010 - Principals/Asst Principal

  • 020 - Office Administration

  • 030 - Teachers

  • 040 - Instructional Aides

  • 050 - Nurses/Health Services

  • 060 - Transportation

  • 070 - Food Services

  • 080 - Maintenance

  • 090 - Other

  • 095 - Qualified Public Safety Personnel

  • 100 - Secondary Position
