RIDE Staff Report Setup

RIDE Reference Tables

Menu Path: Human Resources > State > RIDE Reference Tables - RI

Before generating the RIDE Staff report, ensure that the following reference tables are set up:

Assignment End Reason Code

  1. Select Assignment End Reason Code.

  2. Filter records using the following criteria:

  • Code

  • Description

To specify filter criteria, select an option from the list, enter a keyword or select an option in the next field, and click Add. The filter is added.

3. To add a record, click Add Record. Specify valid information in the Required fields and click Save. Click Yes.

  • To edit a record, click the ellipsis in the Actions column, and select Edit.

  • To delete a record, click the ellipsis in the Actions column, and select Delete. Click Yes.

4. To download the reference table data in PDF or Excel format, click Download.

Federal Staff Category

  1. Select Federal Staff Category.

  2. Filter records using the following criteria:

  • Code

  • Description

To specify filter criteria, select an option from the list, enter a keyword or select an option in the next field, and click Add. The filter is added.

3. To add a record, click Add Record. Specify valid information in the Required fields and click Save. Click Yes.

  • To edit a record, click the ellipsis in the Actions column, and select Edit.

  • To delete a record, click the ellipsis in the Actions column, and select Delete. Click Yes.

4. To download the reference table data in PDF or Excel format, click Download.

  1. Select SPED Related Service Personnel.

  2. Filter records using the following criteria:

  • Code

  • Description

To specify filter criteria, select an option from the list, enter a keyword or select an option in the next field, and click Add. The filter is added.

3. To add a record, click Add Record. Specify valid information in the Required fields and click Save. Click Yes.

  • To edit a record, click the ellipsis in the Actions column, and select Edit.

  • To delete a record, click the ellipsis in the Actions column, and select Delete. Click Yes.

4. To download the reference table data in PDF or Excel format, click Download.

Teach Subject

  1. Select Teach Subject.

  2. Filter records using the following criteria:

  • Code

  • Description

To specify filter criteria, select an option from the list, enter a keyword or select an option in the next field, and click Add. The filter is added.

3. To add a record, click Add Record. Specify valid information in the Required fields and click Save. Click Yes.

  • To edit a record, click the ellipsis in the Actions column, and select Edit.

  • To delete a record, click the ellipsis in the Actions column, and select Delete. Click Yes.

4. To download the reference table data in PDF or Excel format, click Download.

Baseline Assignments

After setting up RIDE Reference Tables, ensure that valid information is entered on the Assignments page.

Specify Baseline Assignment Information For Regular Employees

Regular employees are those employees who do not have a Pending Status of "Add Pending" on the Employee Information page.

  1. On the application start page, select Menu -> Human Resources -> Entry & Processing -> Employee Information (under Employee).

  2. Specify the search criteria and click Find.
    OR
    Leave all Search Criteria fields blank, and select only Exclude Pending Employees. Click Find.
    A list of regular employees matching the search criteria appears.

  3. Double-click the relevant employee record.

  4. On the navigation bar, click Personnel Information, and select Assignments.
    The Assignments page displays the teaching roles assigned to the employee.

  5. Add a teaching assignment:

    1. On the navigation bar, click Add new.

    2. Select an Assignment and a School Code.

    3. In the Percent field, specify the percentage of time the employee spends on the assignment.

      For example, specify 100% as 1 and 50% as 0.5.

    4. Select or enter valid information in the following required fields:

      • Assignment Start Date

      • Number of Contractual Days

      • Staff Title

      • Federal Staff Category

      • One Year Assignment

    5. On the navigation bar, click OK.

      You can add up to 4 assignments per employee.

The next step is to specify Employee Information.

Specify Baseline Assignment Information For Pending Employees

Pending employees are those employees with a Pending Status of Add Pending on the Employee Information page.

  1. On the application start page, select Menu -> Human Resources -> Entry & Processing -> Employee Information (under Employee).

  2. Specify the search criteria and click Find.
    OR
    Leave all Search Criteria fields blank, and select only Only List Pending Employees. Click Find.
    A list of pending employees matching the search criteria appears.

  3. Double-click the relevant employee record.

  4. Click Assignments (under Personnel).

  5. Add a teaching assignment:

    1. Select an Assignment and a School Code.

    2. In the Percent field, specify the percentage of time the employee spends on the assignment.

      For example, specify 100% as 1 and 50% as 0.5.

    3. On the navigation bar, click OK. If required, you can add additional assignments.

      You can add up to 4 assignments per employee.

  6. Click Finish.

The next step is to specify Employee Information.

State Required Page - Employee Information

After setting up Baseline Assignments, ensure that valid information is entered in the Excl from RIDE field on the Rhode Island State Required page.

Specify Employee Information For Regular Employees

Regular employees are those employees who do not have a Pending Status of "Add Pending" on the Employee Information page.

  1. On the application start page, select Menu -> Human Resources -> Entry & Processing -> Employee Information (under Employee).

  2. Specify the search criteria and click Find.
    OR
    Leave all Search Criteria fields blank, and select only Exclude Pending Employees. Click Find.
    A list of regular employees matching the search criteria appears.

  3. Double-click the relevant employee record.

  4. On the navigation bar, click Payroll Information, and select State Required.

  5. Enter Y or N in the Excl from RIDE field, and on the navigation bar, click OK.

    Excl from RIDE is an optional setting. Enter Y only if you need to exclude the employee from the RIDE Staff report.
    If required fields are not completed, you are prompted for valid information. Ensure that you specify valid information in all these fields, and then click OK.

The next step is to create the RIDE Staff Report.

Specify Employee Information For Pending Employees

Pending employees are those employees with a Pending Status of Add Pending on the Employee Information page.

  1. On the application start page, select Menu -> Human Resources -> Entry & Processing -> Employee Information (under Employee).

  2. Specify the search criteria and click Find.
    OR
    Leave all Search Criteria fields blank, and select only Only List Pending Employees. Click Find.
    A list of regular employees matching the search criteria appears.

  3. Double-click the relevant employee record.

  4. Click Rhode Island State Required (under Personnel).

  5. Enter Y or N in the Excl from RIDE field, and click Finish.

    Excl from RIDE is an optional setting. Enter Y only if you need to exclude the employee from the RIDE Staff report.

    If required fields are not completed, you are prompted for valid information. Ensure that you specify valid information in the blank fields, and then click Finish.

The next step is to create the RIDE Staff Report.
