Staff Load Log File

Staff load error messages can be found in the user's report directory. The report is called 'r_staffld.rpt'. It is not visible through the reports tab on the user's home page; instead, it may be viewed by selecting e-Forms & Tools > Tools > View Files. In the File Mask field, enter *.* and select Accept.

Staff Load Error Messages

During the process of loading Staff records, errors may occur. Use the following table to help resolve issues that cause errors.

In these messages, 'nnn' represents the actual number of records deleted or loaded, 'employee number' represents the actual employee number in the report, and 'orgncode' represents the actual organization code in the report.

An error occurred while deleting records, process terminating.

Check the staff load program error log (estf_mainEoh.log) in the log directory.

Ethnic code for employee number 'employee number' not found on EMIS table.

Check the employee's ethnicity and races on the Race/Ethnicity Tab of the Employee Information Center (EIC). 'H' if Ethnicity set to Hispanic or Latin, 'M'(ultiracial) if more than one Race listed. Check the Race table and made sure the state race is populated with the local code(s) and EMIS code.

Degree type for employee number 'employee number' not found on EMIS table.

Check that personnel Degrees reference is populated with the local code and corresponding EMIS code in the state degree field from the employee's highest degree in the EIC Degrees page.

Invalid gender for employee number 'employee number'.

Check the employee's EMIS demographic record gender is not blank (it should not be able to be saved that way).

Invalid early childhood qualification for employee number 'employee number'.

Check that the employee's EMIS demographic record early childhood qualification is a valid value, including *.

Missing semester hours for employee number 'employee number'.

Check the employee's EMIS demographic record semester hours is not blank (it should not be able to be saved that way). 0 is the default if no semester hours are found.

Missing authorized years experience for employee number 'employee number'.

Check the employee's EMIS demographic record authorized years experience is not blank (it should not be able to be saved that way). This field is loaded from the EIC employment tab, Years in State field.

Missing total years experience for employee number 'employee number'.

Check the employee's EMIS demographic record total years experience is not blank (it should not be able to be saved that way). This field is loaded from the EIC employment tab, Years in Total field.

Empl 'employee number' 'employee last name' EMIS employee ID set to 999999999 – Invalid.

Check that employee's  State Staff ID field is populated  in the EIC Personnel tab.

Empl 'employee number' has locked CK record for position 'position' code, contract 'contract number'. Position record not loaded."

Already existing CK employment record (same employee, position and contract code) for the fiscal year and period will not be overwritten if the CK Employment record is locked within the EMIS Staff Report staff module.

An error occurred while inserting records, process terminating.

Check the staff load program error log (estf_mainEoh.log) in the log directory.

Empl 'employee number' Report to EMIS' is 'Y' but no demographic record for current year and collection.

Ohio State Reports page 'Rpt to EMIS' field is 'Y' but demographic record was not created. Check that employee has at least one EMIS position record in EIC, EMIS Positions.

Missing attendance days for : 'employee number' Name: 'last name'

Check the employee's 'Days Worked' on the employee's 'Pay Rate' screen.

Employee Number 'employee number' Demographic Record Only

Check the staff load program error log (estf_mainEof.log) in the log directory. Error message only occurs when loading both CI and CK records.

Employee Number 'employee number' Employment Record Only

Check the staff load program error log (estf_mainEoh.log) in the log directory. Error message only occurs when loading both CI and CK records.

When the load process is successful, you will receive one of the following messages depending on the case:

  • 'nnn' Staff Records Loaded

  • 'nnn' records deleted from ohestaff_demo

  • 'nnn' records deleted from ohestaff_employ

  • NO STAFF RECORDS LOADED

Viewing Staff Load error reports

  1. Select e-Forms & Tools > Tools > View Files to display the View Files page.

  2. Select the appropriate directory from the drop down.

  3. In the File Mask field, enter ., and then click Reports to display the Available Reports page.

  4. In the Available Reports page, select the desired report and then click OK.

  5. In the Print window, specify how to generate the report, and then click OK. The report's default file name is the same as that of the file you selected.

Viewing Staff Load error logs

  1. Select e-Forms & Tools > Tools > View Files to display the View Files page.

  2. Select the appropriate directory from the drop down.

  3. In the File Mask field, enter ., and then click Logs to display the Available Logs page.

  4. In the Available Logs page, select the desired log and then click OK.

  5. In the Print window, specify how you want to generate the report, and then click OK. The log's default file name is the same as that of the file you selected.
    The error log can also be viewed through Excel by selecting the Excel output on the report screen.
