Employment page
The EMIS reporting entity that employs the staff member is responsible for reporting at least one Staff Employment (CK) Record for each staff member. In most circumstances, the Staff Employment (CK) Record is not required to be reported by the resident/educating district for a contracted staff member providing services or teaching a course. Contracted staff members are not employees of the district; however, they are providing services to the district under a contractual arrangement with the district. For details about reporting contracted staff, refer to EMIS Manual Section 4.0 Contractor Staff Employment (CJ) Record. A staff member with more than one position (such as someone who teaches and also serves in an administrative position) or a staff member with a supplemental contract (i.e., coaching, class advisor, club advisor, etc.) different from his/her regular position(s) is reported with a separate Staff Employment (CK) Record for each position. If a staff member has multiple coaching or advisor assignments, then each position is reported on a separate Staff Employment (CK) Record. In addition, a separate Staff Employment(CK) Record is reported when a teacher has multiple teaching positions (e.g., 230 with 999370 or 999414). Supplemental positions are required to be reported. This includes individuals whose only position in the district is supplemental. Staff employment data for supplemental positions are to reflect the specific supplemental position. Estimates may have to be made in some areas. |
Menu Path: EMIS > All > EMIS > EMIS Staff Report> search for and select a record > click Employment
Adding a new Employment record
Select EMIS > All > EMIS > EMIS Staff Report to display the EMIS Staff Report page.
Click Employment on the Action Bar to display the EMIS Staff Report Employment page.
Complete the fields in the General Information section, Position Data, Fund Source, Contract Data and Miscellaneous tabs as needed. For details, refer to the Fields below.
Click OK to save the record.
Adding to an already existing record
Select EMIS > All > EMIS > EMIS Staff Report to display the EMIS Staff Report page.
In the Search Criteria section, enter criteria identifying the records to list, and then click Find. To run an advanced search, use the Advanced button.
Select the desired record, and then click Employment on the Action Bar to display the EMIS Staff Report Employment page.
On the Employment page, click Add New.
Complete the fields in the General Information section, Position Data, Fund Source, Contract Data and Miscellaneous tabs as needed. For details, refer to the Fields below.
Click OK to save the record.
Changing an Employment record
Select EMIS > All > EMIS > EMIS Staff Report to display the EMIS Staff Report page.
In the Search Criteria section, enter criteria identifying the records to list, and then click Find. To run an advanced search, use the Advanced button.
Select the desired record, and then click Employment on the Action Bar to display the EMIS Staff Report Employment page.
On the Employment page, select the desired record, and then click OK.
Change the record as needed in the General Information section, Position Data, Fund Source, Contract Data and Miscellaneous tabs. For details, refer to the Fields below.
Click OK to save the record.
Deleting an Employment record
Select EMIS > All > EMIS > EMIS Staff Report to display the EMIS Staff Report page.
In the Search Criteria section, enter criteria identifying the records to list, and then click Find. To run an advanced search, use the Advanced button.
Select the desired record, and then click Employment on the Action Bar to display the EMIS Staff Report Employment page.
On the Employment page, select the desired record, and then click Delete.
In the Confirmation dialog, click Yes to delete the record.

General Information section

Fiscal Year | Fiscal Year as set in the EMIS Profile. Display only. |
Reporting Period | Fiscal period for reporting as set in the EMIS Profile. Always 'L' signifying Staff/Course. Display only. |
District IRN | State assigned six-digit Information Retrieval Number (IRN) for the district as defined in the EMIS Profile. Display only. |
Employee Number | Unique number identifying the employee as defined in the EIC. Display only. |
Social Security Number | Employee's Social Security Number. |
EMIS Employee ID | Unique code assigned to the staff member from employee EMIS position for position and contract code. Character/9 |
Employee Name | Name of employee as defined in the EIC. Display only. |
Lock Record | If this is selected, then the Staff Load will not delete or overwrite this record. Otherwise, the record can be changed and/or deleted. Default setting is blank. |
Position Data tab
Field | Description |

Position Assignment Code | Three digit code associated with the position assignment of the employee. |
Position Status | Identifies the employee's current employment relationship with the school board in that particular position. Select: C - Current Position in District |
Start Date | Date the staff member began work in this position. |
Building IRN | From EIC employee EMIS position for position and contract code. |
Position FTE | Decimal number expressing the full-time equivalency of the position expressed as a percentage. |
Special Education FTE | Full-time equivalency of the position related to special education expressed as a percentage. |
Fund Source tab

Contract Data tab
Field | Description |

Position Type | Type of employment with the school board from EIC employee EMIS Position for position and contract code. Temporary employees are different from individuals holding temporary licenses. These are individuals who hold a position of employment that is designated as "temporary" by the local district. These individuals could also hold temporary licenses, if the position requires certification or licensure that the individual does not hold. Select: R - Regular Classified positions can also be designated as temporary. Employees who are hired under a supplemental contract to provide services such as coaching, advising, and student activities. |
Type of Appointment | Classification of the staff member's position from employee EMIS Position for position and contract code. Select: 1 - Certificated/licensed |
Length of Work Day (Hours) | Total hours worked during a normal day. This does not include lunch. Valid values 0.00 - 24.00. |
Scheduled Work Days | Total number of days the staff member is scheduled to work in the position during the year. Valid values 0 - 356. |
Contracted Pay Type | Drop-down selection for the employee's type of pay. Select: A - Annual salary |
Contracted Pay Amount/Rate | Employee's contracted rate of pay for hourly or amount for salary. |
Extended Service | From EIC employee EMIS position for position and contract code. Valid values 0-365. Defaults to 0 if not filled in. |

Separation Reason | Drop-down of reasons for the employee's separation. If the Separation Date field is filled, this field must also be filled. Select: 1 Retirement |
