Payroll Information - State Required

Use the Minnesota TRA/PERA Information page to maintain employee-level retirement information required for state reporting to the Teachers Retirement Association (TRA) and the Public Employees Retirement Association (PERA). This page allows users to enter retirement-specific employee data that supplements the standard employee record and is automatically populated into TRA and PERA contribution and demographic reports.

Before generating the reports, enter valid information on the Minnesota TRA/PERA Information page.

Enter information for regular employees

On the Employee Information page, the Pending Status for a regular employee is blank.

  1. On the start page, select Human Resources.

  2. Select Entry & Processing, then from the Employee menu, select Employee Information.

  3. Enter the Search Criteria and select Search. Alternatively, you can select Exclude Pending Employees and then select Search.
    Refer to Search for records for more information.

  4. Select the relevant employee record and select Accept

  5. Select Payroll Information and then select State Required

  6. Refer to the Field descriptions and enter valid information. 

  7. Select Accept.

Enter information for pending employees

Pending employees require additional information to complete the employee record. On the Employee Information page, the Pending Status on the record shows Add Pending.

  1. On the start page, select Human Resources.

  2. Select Entry & Processing, then from the Employee menu, select Employee Information.

  3. Enter the Search Criteria and select Search. Alternatively, you can select Only List Pending Employees and then select Search.
    Refer to Search for records for more information.

  4. Select the relevant employee record and select Accept

  5. Select Minnesota TRA/PERA Information

  6. Refer to the Field descriptions and enter valid information.

  7. Select Finish.

  8. On the navigation bar, select Finish.

  9. Select OK.

Description

Referencing Reports

TRA Member ID

The employee's unique six-digit member identification number assigned by the Teachers Retirement Association (TRA).

TRA Retirement Report

PERA Member ID

The employee's unique member identification number assigned by the Public Employees Retirement Association (PERA).

PERA Elig Date

The date the employee became eligible for PERA membership.

Enter a date only when the eligibility date differs from the hire date.

If this date is later than the employee's hire date, the PERA Exclusion code is applied to the demographic record.

Annuitant Type

Indicates if the employee is a retiree (annuitant) receiving retirement benefits while actively employed.

Used to identify retirees for special contribution processing.

Valid values:

  • TA = TRA Annuitant

  • PA = PERA Annuitant

  • TD = TRA Disabilitant

  • PD = PERA Disabilitant

TRA Position

The two-character position code identifying the employee's job classification for TRA Contribution reporting.

Valid values:

  • 01 = Teacher

  • 02 = Administrator

TRA Retirement Report

TRA Elig Code

The two-character eligibility code assigned to the employee for TRA demographic reporting.

Required for new hire demographic records submitted to TRA.

The valid values are 01-24.

TRA Eligibility Class codes are defined in the user-defined table EL.

TRA Retirement Report

PERA Position

The four-character position code identifying the employee's job classification for PERA reporting.

PERA Position codes are defined in the user-defined table PC.

PERA Pos Class

The two-character position class code for PERA demographic reporting.

Used to further classify the employee's position within PERA reporting categories.

For example, SL for seasonal position class.

PERA Position Class codes are defined in the user-defined table CL.

PERA Exclusion

The three-character exclusion code indicating why an employee is excluded from PERA membership.

Applied when the PERA Eligibility Date is later than the hire date.

PERA Exclusion codes are defined in the user-defined table EX.

PERA Job Title

The job title description for the employee.

For example, coach.

Employ Status

The employee's retirement status code for both TRA and PERA reporting.

Employee status codes are defined in the user-defined table ES.

Status Date

The effective date of the employee's current retirement status.

Indicates when the employee's status (Employ Status) became effective.
