Virginia State Retirement Page

Before generating reports, enter valid information on the Virginia State Retirement page.

Enter Information For Regular Employees

On the Employee Information page, the Pending Status for a regular employee is blank.

  1. On the start page, select Human Resources.

  2. Select Entry & Processingthen from the Employee menu, select Employee Information.

  3. Enter the search criteria, then select SearchAlternatively, you can select Exclude Pending Employees, then select Search.

  4. Select the relevant employee record, then select Accept

  5. Select Payroll Information, then select State Required

  6. Refer to Field Descriptions and enter valid information in the required fields. 

  7. Select Accept.

Enter Information For Pending Employees

Pending employees require additional information to complete the employee record. On the Employee Information page, the Pending Status on the record displays Add Pending.

  1. On the start page, select Human Resources.

  2. Select Entry & Processingthen from the Employee menu, select Employee Information.

  3. Enter the search criteria, then select Search. Alternatively, you can select Only List Pending Employees, then select Search.

  4. Select the relevant employee record, then select Accept

  5. Select Virginia State/Retirement Screen. 

  6. Refer to Field Descriptions and enter valid information in the required fields.

  7. Select Finish.

  8. On the navigation bar, select Finish.

  9. Select OK.

The employee's contract length.

VRS Modernization

Times Reported

The number of times retirement is reported annually.

VRS Life Insurance over 50K

UI Tax Exempt

The status of the employee's unemployment insurance taxation exemption. 

Valid values: 

  • Y -  Employee is exempt

  • N - Employee is not exempt

Leave the field blank to imply N.

Quarterly Wage Report

Annual Salary

The employee's annual salary used to calculate VRS retirement deduction amounts.

Job Name

The employee's state-defined job name.

VRS Modernization

New Hire Reprt

Indicates if the new hire employee has been reported.

Valid values:

  • Y

  • N

Leave the field blank to imply N.

After the New Hire report is generated, this field is updated to Y for employees reported. It ensures that the same employees do not get reported again.

Times Taken

The times per year that a retirement deduction is taken for this employee.

Status Code

The employee's employment status code.

Valid values:

  • ACTV - Active

  • EDLE - Education Leave

  • BALE - Birth/Adoption Leave

  • LPAM - Leave without pay due to medical reasons

  • ADML - Active Duty Military Leave

  • LEPA - Leave without pay

  • SEPA - Separation

  • TBSE - Transitional Benefits Program – Separated

  • TBPR - Transitional Benefits Program – Retired

  • JOBC - Job Change
