User-Defined Codes

Set up user-defined codes used in PA State reporting.

Populate AI

You must populate the AI table with information to crosswalk State-defined active/inactive codes with local status codes.

  1. On the start page, select Human Resources.

  2. Select Reference Tables, then from the Personnel menu, select User Defined Codes.

  3. Select Add new.

  4. Specify the Table Code as AI.

  5. In the Code field, enter a code from the Status Code Table page.

    To access the Status Code Table page, select Human Resources. Select Reference Tables, then from the Personnel menu, select Status Codes.

  6. In the Title field, enter the corresponding State-defined active/inactive code.

  7. Select Accept.

  8. Repeat these steps and create records for the remaining codes.

Populate NH

You must populate the NH table with New Hire contact person information.

  1. On the start page, select Human Resources.

  2. Select Reference Tables, then from the Personnel menu, select User Defined Codes.

  3. Select Add new.

  4. Specify the Table Code as NH.

  5. In the Code field, enter a code from the New Hire Codes.

  6. In the Title field, enter an appropriate title.

  7. Select Accept.

  8. Repeat these steps and create records for the remaining codes.

New Hire Codes

Code

Description

FNAME

First name

The limit is 16 characters.

LNAME

Last name

The limit is 30 characters.

PHONE

Phone numbers

Ten characters

Do not use hyphens or parentheses.

PHEXT

Phone extension

The limit is five characters.

The PHEXT record is required. If the phone extension is not applicable, enter X in the Title field.

Populate PH

For the Public School Employees Retirement System (PSERS), an hourly pay code is sometimes used, but the information should be reported as salaried pay in the PSERS Work report. You must populate the PH table with hourly pay codes that should be reported as salary.

  1. On the start page, select Human Resources.

  2. Select Reference Tables, then from the Personnel menu, select User Defined Codes.

  3. Select Add new.

  4. Specify the Table Code as PH.

  5. In the Code field, enter an hourly pay code from the Pay Codes page (for example, 002).

    To access the Pay Codes page, select Human Resources. Select Reference Tables, then from the Payroll menu, select Pay Codes.

  6. In the Title field, enter the corresponding title from the Pay Codes page (for example, Regular Pay - Hourly).

  7. Select Accept.

  8. Repeat these steps and create records for the remaining hourly pay codes.

Populate PI

You must populate the PI table with information to crosswalk State-defined degree codes with local degree codes.

  1. On the start page, select Human Resources.

  2. Select Reference Tables, then from the Personnel menu, select User Defined Codes.

  3. Select Add new.

  4. Specify the Table Code as PI.

  5. In the Code field, enter a code from the Degree Table page.

    To access the Degree Table page, select Human Resources. Select Reference Tables, then from the Education menu, select Degrees.

  6. In the Title field, enter the corresponding State-defined degree code.

  7. Select Accept.

  8. Repeat these steps and create records for the remaining codes.
