IN - Defined Page 32001 fields for New Hire 60-day rule enhancement

The Defined Page 32001 - New Hire Information page now includes fields required for the 60-day enhancement of IN New Hire reporting.

The following are the new fields and their default behavior:

  • NH Last Rptd

    • For all those who have already been reported as new hires (New Hire Rptd field value on the Payroll Information - State Required page is Y), the NH Last Rptd field is updated with the date from the Last Paid field on the Payroll tab of the Employee Information page.

    • For all those who are yet to be reported (New Hire Rptd field value on the Payroll Information - State Required page is N or the field is blank), the NH Last Rptd field is left blank.

  • No 60 Day Rule

    • If the field value is N or the field is blank, this means the employee is included in the 60-day rehire rule by default.

      • If an employee is not subject to the 60-day rehire rule, update this field to Y.

  • NH Last Paid

    • For all those who have a New Hire Rptd field value of Y or N on the Payroll Information - State Required, or the field is blank, the NH Last Paid field is updated with the date from the Last Paid field on the Payroll tab of the Employee Information page.

IN New Hire report enhancement to include 60-day rehires

IN New Hire report enhancements:

  1. The New Hire report checks if the NH Last Rptd field on the Defined Page 32001 - New Hire Information page is empty instead of checking the new hire indicator (New Hire Rptd field) on the Payroll Information - State Required page.

  2. The 60-day rehire logic is applied when all of the following are true:

    • The No 60 Day Rule field value on the Defined Page 32001 - New Hire Information page is not Y.

    • The Hire date is earlier than the entered cutoff date.

    • The cutoff date is more than 60 days from the date in the NH Last Rptd field on the Defined Page 32001 - New Hire Information page.

    • The NH Last Paid field value on the Defined Page 32001 - New Hire Information page is more than 60 days from the date in the Last Paid field on the Payroll tab of the Employee Information page.

    • Not a pending employee.

  3. The Load process updates the NH Last Paid field on the Defined Page 32001 - New Hire Information page with the date from the Last Paid field on the Payroll tab of the Employee Information page for all employees when there are no new hires / rehires to be reported. This is to synchronize paid dates for the next run of the 60-day rehire logic.

  4. During the electronic file generation:

    • The NH Last Rptd field on the Defined Page 32001 - New Hire Information page is updated for all reported employees.

    • The NH Last Paid field on the Defined Page 32001 - New Hire Information page is updated for all employees.
