Deduction Table

Use the Deduction Table page to set up deduction codes.

  1. On the start page, select Human Resources.

  2. Select Reference Tables, then from the Payroll menu, select Deductions.

  3. Enter the search criteria to find the required deduction code records, then select Search.

  4. To add a record, select Add new. Refer to Field descriptions, enter valid information in the required fields, and select Accept.

  5. To edit a record, select the record, and select Accept. Update the information and select Accept.

  6. To delete, select Delete, then Yes.

General tab

The following table describes the Illinois-specific functionality of the M - % Plus Additional Amount deduction method in the General tab's Method field.

Method

The M - % Plus Additional Amount deduction method is a percentage deduction that can be taken on an adjusted gross. For more information, see the Additional Gross fields on the Employee Deductions page.

For Illinois, there is a method of calculating this additional gross automatically by adding or subtracting deductions from the gross of other deductions. This can be controlled with the following options in the Cafeteria Plan field on the Employee tab:

  • Y - Subtract amount from method M additional gross

  • A - Add amount to method M additional gross

These options are typically used for pre-tax deductions, which need to be excluded from retirement deductions, or for benefits, which must be added as wages for retirement deductions.

The deductions that need to modify the gross of other deductions must be configured with the respective Cafeteria Plan. The deductions that need to be taken on this adjusted gross must be set up using the method M - % Plus Additional Amount.

If you have a scenario that requires a deduction to be both method M - % Plus Additional Amount and a Cafeteria Plan deduction, you will need to take care with the order of deductions to ensure they are processed correctly.

You must order the deductions to process in the following sequence:

  1. Cafeteria plan deductions

  2. Method M cafeteria plan deductions

  3. All other Method M deductions

Any deduction that is both method M and a cafeteria plan needs to be ordered after (with a higher deduction code than) all deductions that must adjust their gross.

For example, if you are attempting to take deductions that depend on IMRF wages, you may need to set up some pre-tax deductions to be excluded from the retirement contribution. These deductions would have the Cafeteria Plan flag set to Y - Subtract amount from method M additional gross.

The retirement contribution would then be set up as method M - % Plus Additional Amount to use this reduced gross. If your district picks up employee IMRF contributions, you will also need to increase the IMRF wages by the retirement contribution amount. The retirement contribution must be of type M - % Plus Additional Amount and Cafeteria Plan A - Add amount to method M additional gross.

The deduction will not modify its gross. You would need to use a deduction rate adjusted for employer pickup.

Any deductions that need to be taken on IMRF wages, such as the voluntary additional contributions, could then be set up as method M - % Plus Additional Amount deductions. For this to work correctly, each step must occur in order, which requires the deduction codes to be set accordingly.

The following table describes the Illinois-specific options in the Cafeteria Plan field on the Employee tab.

Indicates whether employees with this deduction qualify for the Federal Exempt Cafeteria Plan.

Additional options:

  • A - Add amount to method M additional gross
    The cafeteria plan amount is included in the calculation of M - % Plus Additional Amount deductions.

  • H - Deduction is an HSA-type deduction
    The cafeteria plan amount is included in the employee’s HSA-eligible plan.
