Selection Rule
Extracts the DBI budgeted expenditure records from budgeted expenditure files for the selected fiscal year based on the reporting structure and the other reference tables setup (Crosswalk, this means the regular areas, functions, etc, and translations).
Setup
Select Setup > Reporting Structure.
To edit a record, click the ellipsis in the Actions column, and select Edit.
Click Save.
Load Data
You can load data based on the Fiscal Year.
On the navigation bar, select Load.
Select the Fiscal Year.
Click Load, then Yes. The following pdf files are created:
OR DBI Budgeted Expenditures_Error Report_<timestamp> (if errors were encountered)
OR DBI Budgeted Expenditures_Load Summary Report_<timestamp>
Depending on the browser type, the files are displayed within the browser, or you are prompted to select a download location.
Save the files, then click OK.
Navigate to the folder containing the files.
Inspect the files. Update data, if needed.
Repeat steps 1 to 6 until all required data is loaded.
Maintain Data
You can correct loaded data before submitting the report. However, any changes made here must be duplicated in the source data.
On the OR DBI Budgeted Expenditures page, you can filter records to display by the following criteria:
Fund
Function
Object
Amount
To specify filter criteria, select an option from the list, enter a keyword or select an option in the following field, and click Add. The filter is added.
To add a record, click Add Record. Specify valid information in the Required fields and click Save. Click Yes.
To edit a record, click the ellipsis in the Actions column, and select Edit.
To delete a record, click the ellipsis in the Actions column, and select Delete. Click Yes.
To download the information, click Download, then select Download PDF or Download as an Excel Document.
Create File
On the navigation bar, select Report.
Select the Fiscal Year.
Create a hard copy of the report to verify data before you create the electronic file:
Under File Type, select Hard Copy.
Under File Format, select PDF or Excel.
Click Create, then click Yes.
The DBI Budgeted Expenditures report is created. If report creation encounters any errors, an error message appears. Click OK.Depending on the browser type, the report file is displayed within the browser, or you are prompted to select a download location.
Save the files and navigate to the folder containing the report file.
Inspect the files. Update data, if needed.
Repeat steps 1 to 5 until all required data is included.
Create the electronic file:
Under File Type, select Electronic File.
Click Create, then click Yes.
Depending on the browser type, the report file is displayed within the browser, or you are prompted to select a download location.
Follow the state's submission procedures.
Purge Data
If you need to correct setups or data, first purge the existing records, then reload the data.
On the navigation bar, select Purge.
Select a Fiscal Year.
Click Submit.
Click Yes, then OK.
