Ohio ETS Retirement Time Posting Improvements

Ohio customers reported that ETS (Employee Timesheets) hours and days were not posting to Retirement Time for employees set up with "W - Employee Timesheets" as their Timecard Required type. The issue occurred when the employee's pay group was not included in the Setup Pay Run > Pay Groups configuration for the pay run, even though the employee had valid timesheet entries.

The logic for the Post Employee Timesheets process has been rewritten to remove the dependency on pay group setups for SERS hours calculation.

Behavior by Timecard Required Type

The retirement time calculation now behaves differently based on the employee's Timecard Required setting (Human Resources > Employee Information > Payroll tab):

Pulled directly from posted timecard entries.

Not calculated - days are handled separately during timecard load.

T - Time Entry Timecard

Pulled directly from posted timecard entries.

Based on calendar days or default days per pay group.

Pulled directly from posted timecard entries.

Based on calendar days or default days per pay group.

Y - Timecard Required

Pulled directly from posted timecard entries.

Hours Calculation Details

For all eligible employees (regardless of Timecard Required setting):

  • SERS Hours (Earnings Code 01): Summed directly from timecard entries where the pay code is mapped to SERS with earnings code "01" in the Ohio Retirement Pay Table.

  • SERS Supplemental Hours (Earnings Code 02): Summed directly from timecard entries where the pay code is mapped to SERS with earnings code "02".

  • Hours are counted only from timecards created by the current ETS posting process (not from pre-existing timecards).

OH W2 Electronic File correction for RITA and CCA Local Taxes

When creating the W2 electronic for RITA or CCA local taxes, school taxes (code 'E' at position 308) are no longer included in the file.

This is for Versions 23.10 and 25.7.

The OH Fund Activity Report is enhanced to display individual transactions, regardless of whether they net to zero.

Corrected Procedure for Indiana State W2 from Ohio Sites

Menu Path: Human Resources > Periodic Routines > W2 Processing

The state format W2 issue causing a fatal error has been resolved. The procedure will now correctly fetch the Indiana locality reference code from the Local Taxes reference table when generating the Indiana state format from an Ohio site.
